Under the direction of the VP, Enterprise Legal Compliance, the Privacy & Records Program Manager will be a key contributor in the development of the enterprise-wide records management and data privacy programs, to ensure the Tribe’s compliance with all applicable, new and evolving privacy requirements. Then, will be responsible for implementing and managing the programs. The Program Manager leverages extensive knowledge of privacy and records management protocols to manage day-to-day operations, compliance, periodic audits, and scheduled reporting.

Essential Duties & Responsibilities

1. Oversee the Tribe’s records management program, including:  managing the record retention schedule and all program policies and procedures; collaborating with stakeholders to ensure implementation of and compliance with program policies and procedures; managing enterprise-wide training on privacy and records management; participating as a key member of the program committee; helping to build consensus for the program strategy across the executive community; developing a long-term plan to assess compliance with the program, including a procedure to audit record storage and conducting the audit; developing and analyzing program metrics; collaborating with government and enterprise leaders to help maximize each department’s success; and regular reporting to executive committees on program status, risk and compliance.

2. As part of the records management program, manage an enterprise-wide records and data reduction project, including:  collaborating with all enterprise departments to develop strategies and implement processes to reduce stored electronic data and physical records in accordance with the records retention policy; conducting regular reviews of each department’s practices and procedures; tracking enterprise-wide progress and monitoring department-by-department success; and reporting on the status of the project to executive committees.

3. Analyze and ensure compliance with applicable laws and regulations related to data privacy and records retention.

4. Collaborate with in-house privacy counsel, outside counsel and the Information Security department to monitor developments in privacy law and design and implement related changes, when necessary, to enterprise programs.

5. Manage responses to guest data review and deletion requests and perform all relevant record keeping.

6. Regularly report to executives on relevant topics.

7. Perform other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

  • Bachelor’s degree in business, pre-law or another closely related field is required.

  • A minimum of five (5) years of experience working extensively on privacy, information management and records retention is required.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

  • A working knowledge of Federal and State laws relating to privacy and records management is required.

  • A working knowledge of governmental retention protocols is preferred.

  • Excellent verbal and written communication skills are required.

  • Experience working with Microsoft Excel, Word, PowerPoint, SharePoint, and Teams.

  • Must display exceptional judgment, emotional intelligence, and the ability to drive results while maintaining strict confidentiality of sensitive information.

  • Must exemplify the values of the Tribe and adhere to the highest standards of ethical business conduct and integrity. Must demonstrate integrity to colleagues, and communicate about ethical concerns with team members, management and Compliance partners.

  • Proven ability to effectively communicate with multiple teams, coordinate activities/tasks among departments, contribute to cross-team alignment, collaboration, and information sharing.

  • Must be able to thrive in a fast-paced environment, be open to change and ambiguity, have creative thinking and strong problem-solving skills, and possess an ownership attitude for projects and assignments.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.
