About This Job

We are looking for a Assistant Front office manager to be the head of our front office department and will act as the ‘face’ of our company and ensure visitors receive a heartwarming welcome. You will also coordinate all front desk activities, including calls, reservations and guests services.

As a Assistant Front office manager, you should combine a pleasant personality with a dynamic professional attitude to supervise and lead our team. Our ideal candidate can deal efficiently with complaints and has a solid customer service approach and is able to bring Hyatt's core value to life.

Ultimately, you should be able to ensure our front desk provides professional and friendly service to our customers.

Responsibilities

  • Ensure front desk is tidy and has all necessary stationery and material
  • Train, supervise and support office staff, including new hires
  • Schedule shifts for the front office
  • Ensure timely and accurate customer service
  • Handle complaints and specific customers requests
  • Troubleshoot emergencies
  • Monitor stock and order office supplies as well as "Grab & Go Supplies"
  • Ensure proper mail distribution
  • Prepare and monitor office budget
  • Keep updated records of office expenses and costs
  • Ensure company’s policies and security requirements are met
  • Responsible of the front office payroll
  • Drive core values to positively impact both Employee and Guest Satisfaction scores
  • responding to guest surveys and reviews online
  • Conducting monthly Front Office meetings
  • Oversee the day-to-day operations and assignments of the hotel front office staff; assist the Director of Operations in the development and communication of departmental strategies and goals. Communicate and enforce policies and procedures.
  • Recommend and/or initiate disciplinary, or other staffing/human resources-related actions in accordance with Company rules and policies. Alert Director of Operations & General Manager of potentially serious issues.

Requirements

  • Proven previous managerial position in front office minimum of 2 years
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Ability to multitask, work in a fast paced environment and have a high level attention to detail
  • Thorough knowledge of customer service, office management and basic bookkeeping procedures
  • Proficiency in English (oral and written)
  • Solid knowledge of MS Office, particularly Excel and Word
  • Excellent communication and people skills
  • Good organizational and multitasking abilities
  • Problem-solving skills
  • High School diploma; additional certification is a plus
  •  Certified Fire Safety Director if possible or within the 6 months of employment MUST obtain 
  • Maintain positive and productive working relationships with other employees and departments
