What you will be doing

  • Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
  • Maintain complete knowledge of correct maintenance and use of equipment.  Use equipment only as intended.
  • Anticipate guests’ needs, respond promptly and acknowledge all guests/residents, however busy and whatever time of day.
  • Maintain positive guest/resident relations at all times.
  • Resolve guest complaints, ensuring guest satisfaction.
  • Monitor and maintain cleanliness, sanitation and organization of assigned work areas.
  • Maintain complete knowledge of:
  • All resort facilities/services, hours of operation.
  • All guest room layouts, bed types, décor, appointments, and locations.
  • Room availability for any given day.
  • Restricted dates, rates and room types.
  • All room rates, packages and promotions.
  • Specific arrangements between resort and travel agencies, corporate reservations center.
  • Entertainment/special events scheduled in the resort.
  • Communicate anticipated business demands daily with each employee (arrivals/departures, group functions, guest requests, etc.).
  • Implement yield movement strategies and provide selling instruction to reservation agents and front office agents.
  • Develop solutions to facilitate forecasting process.
  • Prepare and distribute weekly/monthly/annual forecasts.
  • Analyze effectiveness of promotional programs.
  • Ensure a fair lockout unit rotation system is in place.
  • Evaluate incoming call requests and determine proper Reservation Office coverage.
  • Improve electronic reservation experience.
  • Report group and tour operator trends and determine restrictions and allotment control.
  • Implement a “pre-sell” process for all reservations placed to gain spa and restaurant revenues.
  • Work closely with the front office department on the delivery of all special requests and amenities.
  • Provide on going reports that demonstrate the effectiveness of the reservations department.
  • Assist in the development of reservation incentive programs for Rosewood’s Central Reservations Department and for select tour operator companies.
  • Ensure all electronic brochure information is updated and accurate (GDS, HUBix, SMS).
  • Facilitate the loading of all rates including negotiated and promotional rates.The physical demands described here are representative of those that must be met by an employee.
  • Manage reservations staff.
  • Oversee the printing and distribution of all travel agent commission checks.
  • Communicate all conversion results.
  • Review shop tapes and scores.
  • Handle all barter reservation requests.
  • Maintain department training and standards manual.
  • Respond to incoming calls.
  • Access and ensure that Reservation Agents properly access all functions of Springer Miller system.
  • Monitor and ensure that Reservations staff performs their job functions to the resort's standards.
  • Monitor and ensure that all reservations (including manual) are input into the system.
  • Ensure guest history accounts are kept current.
  • Ensure advance deposits, refunds of such and confirmation of both is processed.
  • Monitor group reservation activity daily and communicate status with Sales Department.  Follow up on tentative sales bookings with Director of Sales to update status.
  • Ensure group files are accurate and kept current.
  • Ensure that group requirements are entered from the sales booking sheet.
  • Process change forms received from Sales after checking availability; resolve any discrepancies.
  • Ensure that group room blocks are released to general inventory after group's cut-off date or cancellation.
  • Ensure that rooming lists are input into the system.
  • Pre-block group rooms where special requests are made.
  • Assist Reservations staff whenever necessary in performing all job functions.
  • Conduct a 1-2 week formal training program on the required job functions with criterion expected and department orientation with new hires.  Conduct ongoing training with existing staff.
  • Communicate designated VIP reservations to the Managing Director and department managers.
  • Work closely with the Front Desk Manager in determining the percentage for overbooking.
  • Review no-show reservations and process charges.  Track group no- show reservations and distribute to Sales Department.
  • Compile reports on no-show for future business forecasting.
  • Review master file activity report daily for accuracy of codes, rates and guest information.
  • Communicate room availability (particularly status changes on any date) to Reservations staff, Front Desk Manager and Corporate Reservations Center.
  • Review any reservations erroneously taken during restricted dates with individual responsible.
  • Review previous night's occupancy report and track for forecasting future business patterns.
  • Monitor wait list and determine priority of guests to be contacted for room availability.
  • Monitor system problems, maintain log of such and coordinate corrections with the service company representative.
  • To ensure that all target market segments are developed for the long-term benefit of the hotel’s business
  • To monitor in statistical format, the pick-up patterns, lead times and business trends
  • To work with the team to promote internal sales and the up selling of all facilities
  • To ensure that the Daily Selling Strategy is completed and checked before the morning meeting
  • To ensure that all Electronic Distribution Systems are up to date at all times in order to maximize distribution and accommodation yield.
  • Ensure all daily, weekly and monthly revenue management reports are up to date and are completed in accordance with standardized company procedures.
