Maintain Hotel’s Accounts Payable function to include timely and accurate payment of vendors/suppliers and to keep accurate accounts payable records and information. Maintain appropriate cash on hand for hotel operations and process hotel bank deposits timely and accurately. In addition, support the Shared Values of the Hotel.  This position will be reporting to the Director of Finance.

What you will be doing

  • Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day.
  • Maintain positive guest relations at all times.
  • Resolve guest complaints, ensuring guest satisfaction.
  • Maintain complete knowledge of property management system and manual procedures.
  • Answer telephone.
  • Ensure and maintain compliance with Corporate and local record retention schedules.  Rotate and destroy records according to retention policies. Ensure compliance with client file maintenance procedures.
  • Perform any/all special projects as assigned by the Director of Finance.
  • Assist with other Accounting job functions as assigned.
  • Accounts Payable
  • Route invoices received through mail to appropriate departments for approval.
  • Audit invoices received from management for accuracy (extensions, footings, taxes); approvals (Dept Managers & GM); appropriate support documentation (P.O. & receiving reports).
  • Post the audited invoices in the computer daily as received.
  • Process check runs according to established schedule and type rush checks. Review all accounts to ensure that they are within the corporate guideline. Research duplicate invoices or copies before processing payments. Ensure that all invoices are attached to the check before sending them for signature.
  • Reconcile vendor statement balances to open invoices monthly.
  • Explain all aged A/P balances greater than 60 days.
  • Ensure all A/P reports are kept in storage in compliance with the hotels established retention period.
  • Compile Federal ID and Social Security Numbers for all vendors for year-end processing of the 1099’s.
  • General Cashier
  • Prepare daily deposit to bank by compiling all cash drops by the different cashiers.
  • Handle change orders, due backs, and petty cash requests.
  • Schedule and follow through on a monthly House Bank audit.
  • Maintain records of petty cash transactions and receipts.
  • Prepare report of daily F&B sales and charged tips by server and by outlet.


The Ideal Candidate for this Position

    As an Accounting Clerk, you would be responsible for responding to guest inquiries and request and resolving guest billing disputes in the hotel continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards


What You Will Be Doing

 DAILY

  • Ensure office supplies are stocked and office area is clean and organized.
  • Ensure meeting materials are ready for day’s meeting’s and presentations.
  • Ensure all accounting documents are filed according to record retention policies.


MONTHLY

  • Inventory verification and sampling
  • Inventory data entry
  • Minor journal entry preparation and documentation
  • PCI compliance verification reporting
  • Provide assistance with balance sheet account analysis and reconciliations.

 

ANNUALLY

  • Ensure all prior year filing is completed in accordance with document retention policies.

·        Respond to guest inquiries, charge inquiries and requests in a timely, friendly and efficient manner

·        Research and resolve guest billing disputes in a timely, friendly and efficient manner

·        Prepare journal entries

·        Answer guest service calls, contact guests via telephone, complete telephone request forms and send correspondence/folios to guests (e-mail, facsimile, mail, etc.)
