Under the guidance of the Sr. Manager Quality, Safety and Compliance, the Key Control Specialist is responsible for maintaining inventory and keeping up-to-date records and variances in inventory of keys to ensure all regulated and non-regulated keys are reflected accurately in the system for Yaamava’ Resort and Casino. Must be organized, detail-oriented, and possess the ability to prioritize and handle sensitive and confidential information appropriately. The Key Control Specialist ensures that all keys are maintained in accordance with the organization’s internal controls by always remaining in compliance. The individual selected for this role reports to the Facilities Department and works closely with various departments enterprise-wide. Must be available for Facilities for emergency situations, non-routinized and/or business continuity during non-traditional hours. The Key Control Specialist selected for this role is expected to assist in championing the goals and priorities of the Tribe in a manner that reflects and upholds the Tribal Community’s vision, mission and values.
1. Maintain master inventory records of all keys in the ProxSafe System by tracking keys that are added or removed from inventory, creating and modifying key sets. Conduct repairs to keys that are reported as, defective or damaged and maintain inventory levels of all duplicate keys.Review all requests for assigning keys to key sets, key sets to job profiles (groups in ProxSafe), and job profiles to employees by job title by demonstrating knowledge of Yaamava’ Resort and Casino’s security protocol of all regulated and non-regulated keys
2. Analyze trends, perform audits and make recommendations to improve departmental efficiencies based on daily review of all ProxSafe alarms, as well as notifying point of contact of applicable departments when “key duration alarm” exceeds, in partnership with Surveillance to ensure safety of assigned key sets.
3. Perform preventative maintenance on all ProxSafe Cabinets and submit work orders to the Information Technology (IT) department with all hardware issues via Service Now, while collaborating with Operational Compliance and IT for approvals.
4. Oversee and manage key RFID System on all regulated keys, to include adding, removing, modifications, and inventory levels of RFID fobs. Conduct audits on RFID fobs and analyze for trends and provide recommendations on system.
5. Maintain accurate inventory records of all regulated keys and regularly update all records of keys that are added or destroyed.
6. Performs administrative oversight over the manual override process to maintain records for override keys and address issues in the event of a power outage or if a cabinet is inoperable.
7. Assist Casino Audit in the performance of quarterly key inventory audit of all keys issued, destroyed, duplicates, and any associated documentation. Conduct investigations of key inventory variances.
8. Oversees the production and issuance of all keys to ensure it includes cutting keys, using vendors and maintain inventory of key cores and blank keys.
9. Performs other duties as assigned to support the efficient operation of the department.
High school diploma or GED required. Some college coursework in job-related fields is preferred.
Minimum of four (4) years, directly related experience in a warehouse environment required.
Experience with key management software preferred.
Must possess experience using Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and internet research methodology.
Able to clearly present information through written routine reports, correspondence and presentations.
Possess excellent and visible organizational skills, strong attention to detail and the ability to work on multiple projects in an effective manner.
Demonstrated maturity and poise; ability to employ discretion in sensitive situations.
Ability to handle sensitive and confidential information appropriately.
At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.
