• Sales and Events Coordinator (Sales & Marketing)

  The Grand Hyatt Grand Cayman Resort & Spa is seeking a suitable candidate to fill the role of Sales & Events Coordinator.The Sales & Events Coordinator serves as the essential link between the resort’s sales leadership and its elite clientele. This hybrid role combines high-level administrative support with the logistical execution of luxury group bookings, site inspections, and VIP experiences. The ideal candidate functions as the "face" of the sales office, ensuring that every interaction from the initial inquiry to the final billing reflects the resort’s five-star brand standards.Key Responsibilities1. Sales Support & Lead Management· Inquiry Handling: Act as the primary point of contact for all sales inquiries via phone and email; qualify leads according to luxury service standards and distributes them to the appropriate Sales Manager.· Proposal & Contract Generation: Draft, proofread, and send professional proposals and contracts using Envision the Hyatt Sales system.· CRM Management: Maintain the accuracy of the sales database (CRM), including account updates, activity logs, and group block details.2. Event Coordination & Client Experience· Site Inspections: Coordinate and assist in setting up property tours; ensure all show rooms, meeting spaces, and public areas are in pristine "inspection-ready" condition. Confirm and book transportation needed for tours and distribution of site alert. Support VIP guest arrangements and special requests.· Group Logistics: Manage rooming lists, VIP amenities, and billing arrangements for incoming groups. Ensure deposit tracking and payment schedules are maintained.· Interdepartmental Liaison: Communicate client needs to Housekeeping, Front Office, and Food & Beverage via detailed Banquet Event Orders (BEOs) and Group Resumes or Group Detail Reports3. Under the leadership of the Director of Sales and Marketing, this role promotes on-brand messaging to customers and guests through traditional digital, and social media channels all with the goal of enhancing the image of the hotel. This role helps build direct marketing plans, targeted campaigns, and activate channels to the end of driving awareness and preference, increasing market share, and building Grand Hyatt and resort brand awareness. This role focuses on showcasing Spa, Food and Beverage, resort activations to both hotel guests and to local islanders and visitors.As part of the Grand Hyatt Sales & Marketing team this role is fully connected to resources within the Grand Hyatt Brand; Marketing and Communication Managers liaise and build deep partnerships with their corporate and sister resort eCommerce and Marketing teams to verify all local, social, and digital marketing efforts are effectively integrated with the selling efforts for the property. This role also gets to do a little bit of everything, from creating and designing brochures and collateral, balancing traditional and digital marketing and eCommerce activities to contributing to public relations (PR) activities for the hotel. Success is measured by how well they help drive the sales and revenue strategy of the property, social media engagement and by how effectively leveraged the resources around them are to create truly compelling marketing and communications campaigns.CANDIDATE PROFILEEducation and Experience Required• Experience: 3+ years in hotel sales, marketing, PR, social media or digital roles.• Education: Bachelor’s degree in Marketing, Hospitality, or Business Administration.• Technical Skills: Proficiency in CMS, graphic design, social media management tools, Canva, Adobe InDesign, Microsoft Office, familiar with using AI• Industry Knowledge: Deep understanding of the hospitality industry, market trends, and online distribution channels.• Flexibility to work some weekends, evenings and holidays as necessary.CORE WORK ACTIVITIESHotel Marketing and Advertising• Executes annual marketing plan to budget, in consultation with the GM, DOSM, Spa Director, Food and Beverage leader, Operations leaders, and Marketing and ecommerce teams.• Partners with Operations, Spa, Food & Beverage and Sales teams to execute promotions and campaigns to target in-house guests with promotions that drive incremental revenue to the hotel.• Acts as the liaison between the hotel and agency on the tactical advertising campaigns' creative and media plans, particularly for Spa, and food and beverage promotions.• Manages Hotel, Spa, F&B, media schedules and creative design.• Partners with property Revenue Management to verify correct offer loading, verifying advertisement targeting is correctly directed at relevant consumer groups• Executes email marketing, and display advertising.• Maintains frequent, active engagement with Hyatt eCommerce team to verify alignment, pull-through, and 2-way communication about the status, performance evaluation, opportunities, and issues related to online programs and initiatives.• Verifies all advertising for the hotel in digital channels is in alignment with brand voice.Social Media Content Management• Directs social media strategy, engagement and content in local digital channels (e.g., hotel website, travel sites).• Develops and executes promotions campaigns in F&B, weddings, spa, rooms, activations, events and conferences through relevant digital and social media channels.• Maintains a library of on property and destination photos and content as needed• Oversee social media, channels including Facebook, Twitter, Instagram and others ensuring imagery and copy is consistent with the identity and positioning of the resort and Hyatt brand standards• Engages in proactive online reputation management by surfacing relevant guest comments (positive or negative) in social media channels and responds accordingly.Public Relations and Visual Asset Management• Develops a comprehensive PR plan per quarter along with agency• Maintains a comprehensive list of local media contracts, with particular emphasis on influencers, food critics and bloggers.• Draft press releases for property events, promotions, and outlets with the support of the PR Agency.• Manages the execution of hotel sponsored events, community/government relations activities, and press promotional activities and media fam trips.• Supports pull through impactful PR strategy & activities to drive quality press coverage through media engagement, in alignment with communications objectives.• Verifies the news clippings and other online, print, and social media mention report is completed monthly for property distribution.• Manages external vendors and media agencies; works with agency partners to identify strategic media buys for their hotel(s).• Supports the coordination of photography for F&B advertising, collateral and public relations purposes between the hotel, advertising agency and the Hyatt Digital Content field marketing teams.• Manages photo shoots for seasonal or festive and special event promotions.• Acts as central point of contact for regionally approved local photographers for food, amenity, and property imagery;   The Lead Steward is responsible for cleaning and supervising, the stewarding team and ensuring all kitchen areas, equipment, and utensils are cleaned, sanitized, and organized according to hotel standards. This role works closely with the Executive Steward, culinary and engineering teams to maintain hygiene, safety, and operational excellence in support of the Grand Hyatt Grand Cayman’s 5-star service standards.
