About This Job

Administration

  • Assist in maintaining the departmental operations manual.
  • Communicate with guests and other departments in a professional manner at all times; this includes during meetings, one-on-one communication, and written communication.
  • Run the night audit functions and reports for the hotel to close out the business day.
  • Help prepare for VIP checkouts, group departures and check in’s, and other special requests.
  • Process No Shows and late and early arrivals as requested.
  • Communicate effectively to management and other departments about incidents and the follow up needed.


Customer Service

  • Responsible for the smooth check in and check out of guests.
  • Provide excellent guest service and take ownership of guest needs.
  • Provide guests with pertinent information concerning the hotel's accommodations and features.
  • Deliver Kokua Hospitality’s core values and provide exceptional guest service at all times.
  • Handle all guest and internal customer complaints in a courteous and efficient manner.
  • Be sure that providing excellent customer service is a priority and that guest care is consistent with the goals of an upscale hotel. 
  • Be familiar with walking directions, public transportation systems, and area attractions.
  • Coordinate housekeeping, maintenance, and other guest requests.


Financial

  • Balances all department accounts before the end of the shift and follows procedures for all computer postings.
  • Keeps keys and cash under constant security.
  • Audit bank at the close of each shift and report any discrepancies as appropriate.
  • Monitors guest accounts for insufficient credit card authorizations, funds, fraud and other risks. 
  • Post charges onto the guest folios and balancing all hotel accounts and ledgers as assigned
  • Multi-task, be flexible with scheduling to meet the needs of the business, and maintain a positive and professional demeanor.
  • Organize special luggage handling and special group requests for check in and check out when needed.


Operational

  • Keeps a constant check of arrival and departure reservation status.
  • Accept packages for guests and for the administrative offices.
  • Communicates with housekeeping department on early departures, room changes, and room status discrepancies.
  • Report requests for maintenance on guestrooms and public space issues that arise during the shift.
  • Monitors and work directly with housekeeping to immediately investigating and correcting any discrepancies.
  • Runs daily system reports, i.e. arrivals, departures, occupancy, house count, etc. and distributes them according to established guidelines.
  • Maintain well-organized lobby and front desk areas.
  • Closely monitor inventory of front desk supplies and maintain stock of all necessary items to the front office functions.
  • Handle waste and recycling efforts and handle confidential information as directed.
  • Assist in training front desk staff on the Emergency Response Plan and to how to care for guests and team members during an Emergency.
  • Advise the Front Office Management of potential improvements that could be made to the operation.
  • Establish, control and monitor closely all green initiatives including the proper disposal of waste.
  • Maximize the energy efficiency of all equipment, notifying the appropriate Management of energy-inefficient equipment that should be replaced.
  • Work in a supportive and flexible manner with other departments, in the spirit of positive teamwork.
  • To carry out any other reasonable duties and responsibilities as assigned.
