About This Job

QUALIFICATIONS

  • Read, write and speak English fluently.
  • Six months previous condominium operations experience preferred.
  • Ability to communicate effectively with the public, guests, homeowners and other employees.
  • Personality traits of persistence and tenacity necessary.
    ESSENTIAL FUNCTIONS
  • Constantly. Maintains confidentiality and protects company by keeping records and information private and discreet.
  • Constantly. Maintains rapport with other departments by keeping lines of communication open with housekeeping and maintenance services, reservations and front desk agents, accounting team as well as board members of individual HOAs and property realtors.
  • Frequently. Learn to understand the property’s customers, marketing strategies and meet goals set by the rental property management.
  • Occasionally. Learn to understand the Rental Property Management Agreement and Property Master Deed(s).
  • Constantly. Report all unsafe conditions immediately.
  • Constantly. Maintain work areas updated, clean and organized and offer beverages to homeowners.
  • Constantly. Office needs to have the ability to show any homeowner the services we provide along with pictures of our product.
  • Constantly. Contributes to team effort by accomplishing related results as needed, i.e. owner arrival inspections, assist with summer events and AHOD (All Hands-on Deck); Annual Property Owners Weekend.
  • Constantly. Identify, build, enrich, maintain, coordinate, and repair relationships with homeowners by personal notes, phone calls, meetings, homeowner website portal updates and assisting with the distribution of a property newsletter 3 times a year.
  • Constantly. Assists visitors and owners by greeting and referring to appropriate office while exhibiting a hospitable attitude and maintaining a professional atmosphere.
  • Constantly. Assists contracting by ensuring that all units accepted into the rental program have up-to-date Rental Management Agreement, HUD (closing statements), HO6 Policy, and unit access requirements.
  • Constantly. Assists owners with Rental Management program by preparing correspondence and pertinent reports; gathering and compiling significant data (Revenue Rotation Report).
  • Constantly. Troubleshoots and resolves problems, complaints, or requests by using considerable judgment by researching, analyzing, communicating and follow up.
  • Constantly. Arranges reservations of owner use by phone and email requests by scheduling units for requested dates; providing front desk with information for homeowner arrivals and departures in rental condos.
  • Constantly. Coordinate condo key release authorization with the front desk for deliveries, appraisers, contractors and realtors, etc.
  • Constantly. Maintains homeowner files pertinent to the successful operation of the rental program by updating owners’ personal information i.e. address, phone #’s, email addresses, change of ownership's, birthday/anniversary dates, and relevant conversational data, unit content photos, etc. Notify accounting and GM accordingly.
  • Frequently. Resolves housekeeping and maintenance billing discrepancies by researching and analyzing monthly work order information in coordination with said departments. Process credits to accounting with Homeowner Relations Manager and GM approval.
  • Frequently. Provides rental and non-rental homeowners of the property information about our Company Policies and Procedures, activities, amenities, as well as discounts.
  • Constantly. Maintains company’s reputation and stability by complying with all legal requirements regarding state, federal and local tax regulations in conjunction with the Rental Management program.
  • Frequently. Inspect units to ensure they meet standards of maintenance, cleanliness and product quality and relevance.
  • Frequently. Perform unit inventory and record of soft goods (drapery/bedding/upholstery), case goods (hard furniture), lamps, art, electronics, flooring, etc.
  • Frequently. Communicate expectations to Housekeeping, Engineering and ownership.
  • Frequently. Communicate to Housekeeping and Engineering the units to be deep cleaned or other projects.
  • Constantly. Prepare and enter work orders after any inspections for delivery to the Engineering and/or Housekeeping Dept. Follow up required.
  • Constantly. Fill out all required purchase order forms and submit to the Homeowner Relations Manager and GM for approval and to Purchasing for ordering.
  • Constantly. Communicate effectively all upgrades prior to starting any work to the Homeowner Relations Manager and GM for approval.
