The Catering Coordinator organizes details for all aspects of event planning from the signing of a group contract forward across all of Halcyon food and beverage spaces.

Job Duties and Responsibilities:

Service/Administration      

  • Ensuring effective communication both written (BEO’s, Daily Reports) and personal contact with all departments for the success of all events. 
  • Develop strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction.
  • Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Operations Briefing as needed, Resume Meeting, Daily Banquet Event Order Meeting, Marketing/ PR Meetings, Sales Meeting, Pre-Convention Meetings, Menu Tastings, and Planning Visits.
  • Act as liaison for all hotel department staff participating in the event delivery process.
  • Handle the communication of all events in coordination with banquet team. 
  • Answering and forwarding of telephone calls and taking messages.
  • Ordering and maintaining office supplies. 
  • Assisting with change sheets, miscellaneous debit charges, department mailings, etc. 
  • Ordering rental items, etc., from vendors
  • Submitting requests to reservations for sleeping rooms. 
  • Collating marketing packets and mailing as requested. Copying packets for coordination meetings. Updating departmental calendar. Creating inter-departmental communications as directed by Catering Director and Manager.
  • Keep Director of Catering, DOSM & GM promptly and fully informed of all problems or unusual matter so prompt corrective action can be taken where appropriate.
  • Assist Banquet/Outlet Department as required, particularly during large group movement
  • Assist with guest inquires within the Sales, Catering, Marketing and Conference Services Department, including assistance with high telephone volume and walk-in site inspections as needed. 
  • Assist with sales blitz & prospecting for new & existing client 

Sales & Catering System( Delphi)-  Key operator of Delphi for catering - ensuring menus/outlet spaces are accurate & making any necessary changes & catering budget/ pace are entered in the system.

  • Creating accounts, bookings and events 
  • Maintaining client mailing database
  • Creation of Banquet Event Orders 
  • Ensure the proper assignment of function space to include private dining, suites, banquet spaces, etc

Ad Hoc

  • Perform other tasks or projects as assigned by Director of Catering or DOSM. 
  • Provide input based on customer feedback in real time. 
  • Be fully versed in the facilities and capabilities of all possible event spaces within Halcyon.
