About This Job

POSITION PURPOSE:   primary responsibility is prospecting, selling and servicing all group business within assigned market segments for groups with guestrooms that require daily meetings with or without food and beverage in hotel’s meeting space. This role is also responsible for groups during need times that do not have guestrooms but require meeting services. Other responsibilities including menu planning, agenda setting and meeting detail services. This individual will issue and review contracts, banquet event orders, while facilitating communication before, during and post event with hotel staff and guests to ensure a high level of service. This position will handle all group reservations such as rooming lists, oversee audio visual and meeting room set-ups, special ordering of event items outside of hotel’s inventory, proper billing of groups, and more as the job requires. The Groups Sales and Events manager will also contribute to site inspections, maintaining strong customer relationships, and working as a team member within the sales and culinary staff. This role is to sell service in accordance with the facilities business/marketing plans, keeping detailed activity records and correspondence to meet or exceed budgeted catering department revenue goals. This role will also assist the Director of Sales and Marketing or General Manager with any other needs as they arise.

ESSENTIAL FUNCTIONS: (Other duties may be assigned.)

  • Perform weekly telephone research, professionally qualifying all local and regional outside group and catering sales calls. Appointments should be made where possible and specific sales call plans and information obtained prior to actual call.
  • In a timely manner (24-hour period or less), address all inquiries and handle accordingly. Negotiate and capture all feasible inquiry business. Make accurate and solid decisions on which inquires to book and which to turn down. Effectively, and in the best interest of the hotel, negotiate room rates, concessions, menus and/or meeting room rental and audio visual charges, and upselling whenever possible.
  • Communicate group details/changes to all hotel departments, coordinating customer’s needs with other property business and activities to ensure customer’s expectations are met and the property operates efficiently.
  • Present all potential business to sales team outside of 15 day free-sell to determine best mix of customers for hotel to attain budgeted revenues. Conduct meetings with client and hotel staff to ensure each event meets client’s expectations.
  • Finalize and detail catering plans for groups contracted by assigned sales manager. Completely orchestrate these functions on-site.
  • Monitor blocked space to ensure group is meeting their contractual obligations. Initiate release of blocked space on cut-off date to allow sale of these rooms to other customers.
  • Maintain account files in software system according to activity goals, ranking system, all correspondence, ensuring accurate communication between client and hotel staff, and with continual follow-up traces for each account.
  • Professionally greet and qualify all "walk-in" business.
  • Secure rooming lists, direct bill applications, tax exempt forms, VIP names, VIP amenities and complimentary rooms in a timely manner for all incoming groups.
  • Effectively complete all pre-convention documents for processing and distribution to all appropriate departments.
  • Conduct weekly Food and Beverage meeting and review all BEO information with Chef, F&B Director, Assistant F&B Director, Banquet Manager/Captain, Set up staff, Bar Manager, General Manager and Director of Sales and Marketing.
  • Conduct site inspections in an efficient and professional manner and for teammates who request assistance.
  • In a timely manner, follow-up on leads from either Sales Managers or Director of Sales and Marketing.
  • Make required number of outside calls to detail or close business when necessary. This will provide a "personal touch" with new clients and make existing clients feel more valuable.
  • Meet whenever necessary or requested, with clients to solidify details of upcoming meetings.
  • Continually and with the highest degree of ongoing interest monitor in-house groups.
  • Maintain at least two times daily contact and "trouble-shoot" if necessary to ensure client satisfaction.
  • Educate Meeting Planners on hotel procedures (re: meal guarantees, set-ups, check-in/checkout procedures, rooming lists needs, etc.).
  • Efficiently organize and execute hotel and/or corporate related functions to a successful beginning, middle and conclusion.
  • Cultivate and maintain an ongoing rapport with equipment distributors, exposition companies, food purveyors and special events companies.
  • Maintain and order any office supplies, marketing and promotional goods for team.
  • Record keeping of any group commissions, rate shops, attrition, cancellation, gift certificates, citywide etc for team.
  • Create and distribute any collateral, blitz promotions, etc as requested by DOSM.
  • Contribute and work as a "team" player in all facets of this position.
  • Conduct hotel tours and entertain qualified potential clients in accordance with the Company and property policies.
  • Correspond with potential customers providing any requested information concerning bids, proposals, confirmation of bookings, thank you letters, follow up letters, etc. In conjunction with other office personnel, maintain accurate and up to date records of all sales department functions and transactions.
  • Submit required monthly/quarterly/annual reports to the Director of Sales & Marketing, General Manager and designated personnel.
  • Local community involvement as it benefits the hotel, via approved memberships in organizations.
  • Assist Director of Sales & Marketing in the development or research of competitive pricing and policies updating.
  • Present a clean, pleasant professional image to project a positive polished appearance to potential guests and clients.
  • Perform other services and duties as requested by the Director of Sales & Marketing or General Manager. Sales managers may be called on to host functions and participate in, or conduct sales blitzes, travel and work extended hours to achieve departmental goals.
  • Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day.
  • Maintain positive internal and external customer relations at all times.
  • Resolve guest complaints, ensuring guest satisfaction.
  • Solicit, negotiate and book new and repeat business through various efforts (outside sales calls, telemarketing, mailings, referrals, property tours, networking, tradeshows, national sales and maximize catering revenue to meet/exceed team group room and catering pace goals and individual sales goal.

Experience - Two+ years  of hotel event catering sales experience preferred.
