JOB TITLE: Loss Prevention Administrative Assistant

DEPARTMENT: Loss Prevention


FUNCTION:

Responsible for performing general office functions as directed and ensure hotel quality standards are achieved and maintained.


RESPONSIBILITIES:

  • Responsible for working with all departments to ensure Guest & Employee Satisfaction.
  • Processing Incident Reports daily.
  • Maintain management calendars.
  • Assist with Lost & Found.
  • Type and send correspondence for the LP department and management team.
  • Take and document messages for the Loss Prevention team when required.
  • Will be involved in different projects for Loss Prevention team.
  • Will support the Loss Prevention team and must be able to prioritize work load according to deadlines.
  • Practices the WinStar World Hotel Culture and ensures all cultural expectations are implemented and regularly practiced.
  • Supports hotel’s training needs and efforts.
  • Responsible for performing “other duties” as assigned by Loss Prevention management.
  • Maintain Code 7 tracking
  • Maintain Incident Report tracking
  • Maintain MS SHIFT Reports


GROOMING/UNIFORMS: 

All employees must maintain a neat, clean and well-groomed appearance. Specific uniform guidelines and/or required articles of clothing will be explained to you as a part of the orientation process.


REQUIREMENTS:

  • High School diploma or equivalent.
  • Must have a minimum of 2 years of office experience.
  • Hospitality experience preferred.
  • Must speak, read and write English.
  • Excellent written & verbal communication.
  • Strong analytical, problem solving & organizational skills.
  • Ability to multitask in fast paced demanding environment.
  • Microsoft Office skills required.
  • Able to meet deadlines.
  • Must maintain confidentiality at high levels.

 

LICENSES OR CERTIFICATES:

  • Ability to obtain any certifications, licenses or permits that may be required by law or company Regulations.


SKILLS & TECHNICAL EXPERIENCE:

  • Ability to understand and perform all office procedures.
  • Must be proficient in excel, word, power point, publisher.
  • Multi lined phone system.
  • Mail and shipping systems.
  • Calculator, Copy machine, fax, scanner, binding.
  • Must be able to recognize potential safety hazards and security problems in the hotel and act upon each immediately.
  • Ability to read, write and understand English.

PHYSICAL, MENTAL & ENVIRONMENTAL DEMANDS 

  • Physically mobile with reasonable accommodations.
  • Manual dexterity and coordination to perform all job duties including lifting, moving loads up to 25 pounds, be able to sit for long periods of time, etc.
  • Read, write, speak, and understand English.
  • Operate in mentally and physically stressful situations.
  • Respond to visual and aural cues.
  • Possibly be exposed to second hand smoke.

 

SAFETY REQUIREMENTS 

Personal Protective Equipment (PPE) may be required when performing work duties that may have the potential of risk to your health or safety. The hotel will provide the required PPE. Team members will be trained in the proper use and care of any assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Manager. 

 

NOTICE: 

Standing, bending, stooping, and lifting weights up to and including 25 lbs. may be required. The hospitality business functions seven (7) days a week, twenty-four hours a day. In addition, this is a hospitality business and a hospitable service atmosphere must be projected at all times.
