About This Job

The Administrative Assistant position is responsible for overall Office activities, including mail, large purchasing requests, facilities, and providing administrative support to ensure efficient operation of the office. You will support the General Manager, managers and employees through a variety of tasks related to organization and communication. The admin job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner.

As an Administrative Assistant, you will:

  • Manage the GM Office to ensure effective telephone and email communications both internally and externally to maintain professional image
  • Coordinate overall administrative activities for the General Manager, including coordination of HR activities with the HR Department and the Corporate Office
  • Maintain personnel files with current compensation, benefit, performance, and mandated information, etc.  Provide information to authorized persons, and update files with document personnel actions and provide payroll information.
  • Assist employees by answering routine questions regarding company policies, benefits, payroll, etc
  • Knowledge of Accounting procedures, HR procedures and Insurance Procedures. Will also manage and file such documentations in an appropriate and timely manner.
  • Negotiate the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Supervise the maintenance of office equipment, including copier, fax machine, etc., as well keep in constant communication with vendors in the case of any repairs needed.
  • Oversees Contract documentation as necessary for the General Manager
  • Participates as needed in special projects, as directed by the General Manager

The ideal candidate for this position

  • Minimum 2 years of Administrative work experience and/or;
  • B.A. Degree in relative field
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Able to meet important deadlines
  • Strong attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office
  • Experience in the hotel industry is preferred
  • Bilingual English/Spanish or English/Japanese preferred
