JOB TITLE: Sales & Group Coordinator
REPORTS TO: Director of Group Sales
FLSA DESIGNATION: Non-Exempt
BASIC PURPOSE: To support sales and reservations functions for the hotel. Review key performance indicators and data analysis; efficiently maintain current sales systems, applications and sales databases.
ORGANIZATIONAL SCOPE: Supports sales, reservations and revenue management team with systems expertise, report generation and data analysis. Interfaces with corporate IT/Sales Systems team members and other internal external resources & vendors. This position has no direct reports.
Sales system monitoring, maintenance and standards compliance.Ensures accuracy of daily input in current sales system, compliance with established IHR operating procedures and provides overall support/coordination with IT and software/application provider (internal and external resources) for system troubleshooting and upkeep.(30%) Manages guest reservations, coordinating group details and ensuring rate guidelines are followed and customer service expectations are met. (30%) Creates, analyzes and issues specialized and customized reports and documents from sales systems and other collective materials to include, but not limited to, productivity tracking, definite and tentative booking records, room block/pick up management, incentive plan management, administration, forecasts and ad hoc requests. (20%) Lead administration to include but not limited to managing the distribution and disposition of incoming leads from all sources, compiling lead status information and communication with Directors/managers on disposition through reports and direct communication. (10%)
1) Perform special projects and other responsibilities as assigned. Participate in task forces and committees as requested. (5%)
2) Typing, filing, copying, faxing and distribution. (5%)
Knowledge and Skills:
Education: Four year college education or equivalent preferred. High school diploma or equivalent required.
Experience: One year hotel experience preferred. One to two years of employment in a related position with this company or other organizations.
