This position is a liaison and brand ambassador for all outside sales clients and existing clients. This position requires availability day and night, seven days a week based on client and trade show demands. This position also provides administrative support to the Operations Manager, and General Manager. They will assist with or individually facilitate various tasks such as: site inspection and tradeshow preparation/participation, monitoring, tracing, and closing inbound leads. This position will actively participate in solicitation, “warm calls”, sales prospecting outside of the property to drive revenue goals. Position also will be answering the phone, preparing contracts and proposals, routing paperwork to appropriate departments.
EXAMPLES OF DUTIES:

30% Typed correspondence on the computer, such as assisting with preparation of proposals and contracts, sending and responding to emails, preparing request forms and memos. High level of grammatical accuracy and proficiency in the English language is a requirement.
20% Answers telephone within 3 phone rings using clear and positive English communication. Take sales inquiries via phone, email, or walk-in. Asks questions to ensure caller is connected with the appropriate manager or department. Communicate information accurately and in a timely manner to appropriate manager and/or department.
20% Maintain inbound leads mailbox as primary lead catcher, assign leads to the appropriate salesperson within 4 hours, champions the maintenance of 90%+ Sales Related QA score. Create room blocks and appropriate routing for all groups. Ensure all groups are aware of cut-off dates 7 days prior to cut-off, finalize rooming and update as needed until date of arrival.
10% Assists in creating, routing and distribution of purchase requests, expense reports, contracts, resumes, banquet event orders, sales reports, VIP and amenity requests to relevant departments throughout the hotel. Email, fax, or mail documents and packages such as menus, countersigned contracts, sales kits, and tradeshow collateral as needed. Check meeting files weekly, ensure they are complete and Operations Team has all needed up dates in a timely manner. Ensures all arriving groups are set for success. Check-in with meeting groups that are in-house, refresh room in the absence of Bistro staff mid-day.
10% Participates in site inspection and tradeshow preparation, such as obtaining show rooms, preparing business requisition forms, amenity forms, and business entertainment requests, preparing purchase requests with travel estimates, expense reports, and consolidating billing post-tradeshow. Updates tips weekly no later than end of day Monday weekly. Processes group reward and meeting planner points at time of group departure once invoice is reconciled.
10% Prospect and solicitation efforts as directed by General Manager, utilizing RFP Process, STS and other business publications. Post social media updates daily via TownePlace Suites Facebook page and Instagram. Scrub groups weekly to ensure maximum use of room’s inventory. Review weekly call and STS prospecting with General Manager to strategize closing groups and close rates for all leads and RFP’s.
5% Property administration support such as Daily Smart Start print outs, front desk support, flier creation and printing for special events.
Regular attendance in conformance with Sun Hill, Courtyard Marriott standards is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs for the hotel.
Upon employment, all employees are required to fully comply with Sun Hill rules and regulations for the safe and efficient operation of hotel facilities. Employees who violate Hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.
Conduct site inspection tours of guestrooms and meeting space with clients.
Deliver information and messages with clients while in house.
Purchase gifts for clients as directed; deliver packages and faxes.
Assist other departments as directed by management.
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
Must possess computer skills, including working knowledge of Microsoft Office.
Ability to read and write the English language proficiently and in a clear manner.
Ability to communicate with clients in a clear and hospitable manner.
Basic knowledge of mathematics and calculator skills to prepare mathematical calculations without error.
Basic typing skills, 50 wpm, and ability to take dictation accurately.
High school diploma required. College Bachelor’s Degree preferred.
Minimum of 2 years Hotel or other hospitality experience required. Marriott experience preferred.
All employees must maintain a neat, clean and well-groomed appearance. (Specific Standards are Available)
Applicants with additional language skills preferred.
