Hotel Front Office Supervisor - The ideal candidate for this position

Candidates must possess exemplary customer service skills in addition to a driven personality and/or have previous customer service experience. Candidate should also have previous supervisory or leadership experience, in any capacity. Previous front-end, customer service and/or hotel/hospitality guest service or supervisory experience a plus (but not required). All qualified candidates to be considered.

DEPARTMENTAL RESPONSIBILITIES: Front Desk, Guest Services, Shuttle and Reservations

ROLE IN SUMMARY: Oversee all aspects of Guest Services and assists the Assistant General Manager in the running of the Front Office Department.


Essential Duties & Responsibilities

  • Ensuring daily check lists are completed and signed off prior to submitting to the Assistant General Manager.
  • Organizing and preparing the front desk for the day’s arrivals and departures.
  • Ensuring that groups are properly entered in the PMS, and that the information is available to booking guests.
  • Ensuring the proper billing of all packages and groups
  • Training and supervising front desk personnel
  • Training and supporting the championing of the Brand Service Culture
  • Be an expert and the ‘go-to person’ on the guest loyalty program
  • Assist guest to ensure expectations are exceeded upon check- in and check-out.
  • Overseeing and enforcing proper guest registration, mode of payment establishment, and that special requests are noted/fulfilled and accurate guest information is obtained.
  • Communicate with concerned departments regarding any special need a guest may have.
  • Maintain hotel's internal VIP program and culture, ensure guest satisfaction
  • Maintain an up to date working knowledge of all hotel amenities as well as any special packages or ongoing promotions.
  • Engage Front Desk Staff, and ensure that the guest loyalty program is actively and consistently pursued.
  • Be knowledgeable of all emergency procedures and hotel policies.
  • Follow set procedures on acceptable modes of payment, posting charges, running checks, safe deposits and refunds
  • Provide professional communication and updates via telephone, e-mail and written form.
  • Initiate and conduct or co-ordinate daily pre-shift meetings to ensure all information for the day is passed to the front desk team.
  • Maintaining a proper schedule of the Front Desk team, and ensuring or coordinating coverage in the event of a call in.

OTHER DUTIES / RESPONSIBILITIES

  • Aid the Assistant General Manager or the General Manager in additional projects when requested
  • Ordering office supplies, guest supplies & other departmental necessities
  • Assist the AGM in the production of the Daily Briefing reports to ensure the complete communication of the current day’s events to designated personnel.
