About This Job

Position Purpose:  

The Administrative Assistant is responsible for handling administrative and accounting duties.  They will be responsible for managing appointments and the daily office schedule for the Senior Vice President of Strategy and the Vice President of Accounting & Controls.  The Administrative Assistant will also work on special accounting projects, such as creating budgets, calculating billing statements, preparing, and submitting tax forms, coding documents, compiling financial records, and managing inventory records.

Essential Duties and Functions/Responsibilities/Tasks:

  • Maintain positivity and professionalism with coworkers and guests.
  • Act as the point of contact for the Vice Presidents between the executive committee, team members, guests, and other external partners.
  • Conserve the VP's time by reading, researching, and routing correspondence; drafting letters, memos, emails, and documents; collecting and analyzing information and initiating telecommunications.
  • Provides administrative support and maintain the calendars for the VPs.
  • Make travel and accommodation arrangements.
  • Arranging and collecting fiscal records.
  • Maintaining accounts equilibrium and setting up the brief report of the balances, expenditure data, and other details that are needed in the formulation of fiscal documents.
  • Integrate administrative and accounting functions.
  • Exercise discretion and confidentiality with sensitive information.
  • Provide office support for the Corporate Office as needed and directed.
  • Other duties as assigned consistent with the functions of this position as needed at any of the properties.

Qualifications:

  • In-depth understanding of Microsoft Office, especially Excel, and Google G-Suite.
  • Excellent organizational and time-management skills.
  • Previous experience as an administrative assistant or bookkeeper preferred.
  • Ability to work in an office setting and work in front of a computer for a majority of the day.
  • Some travel may be required.
