Description

Under the direction of the Public Safety Administration & Community Relations Manager, the Administrative Assistant will be responsible for providing clerical support to the department. This position deals with sensitive and confidential information. The employee will perform specific duties to support the department as well as the enterprise.

Essential Duties & Responsibilities

  • Assists the management staff with general administrative tasks such as record keeping, faxing, copying, filing, scheduling, answering and directing phones.
  • Maintaining the Directors calendars and scheduling meetings as requested
  • Maintaining the calendar for the DPS conference room with the requesting departments
  • Sorts and distributes incoming/outgoing mail for Service Center to include postal mail.
  • Assists in promoting brand loyalty by engaging in exceptional customer service to both external and internal customers.
  • Responsible for daily entering of reports into the Incident Log Book.
  • Prepares and processes ? reimbursement paperwork for officers? guard and gun cards.
  • Enters all updated guard and gun card information into database and forwards copies to the Training division.
  • Prepares and distributes all memorandums generated by DPS divisions.
  • Creates and updates internal documentation including forms and phone directories.
  • Acts as initial point of contact in the reception area as well as on the phone for DPS and also Risk Management.
  • Maintains department logs and purges monthly, per the Retention Policy.
  • Updates, assigns form numbers and maintains Master Forms book.
  • Maintains break room and conference room supplies, to include coffee orders for all department break rooms and guard shacks.
  • Other responsibilities, duties, tasks and assignments that contribute to the mitigation or response to the COVID-19 public health emergency.
  • Performs other duties as assigned to support the efficient operation of the department. 

Requirements

Education/Experience/Qualifications

  • High school diploma or GED required.
  • Minimum two (2) years of administrative experience required.
  • Ability to remain calm under stressful conditions.
  • Ability to perform efficiently in a fast paced, high demand environment.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to understand and carry out verbal and written instructions, prepare clear and comprehensive reports.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Must be approachable and be able to communicate at every level of sophistication.
  • Requires judgment and decisions in the application of a wide range of established procedures, which may affect the quality or accuracy of work.
  • Knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.
  • Must possess a valid drivers license with acceptable driving record as determined by the companys insurance carrier.
