Description

Under the direction of the Director of Guest Services, the Senior Administrator handles and monitors all administrative functions for the Director, Guest Services while supporting other directors within the Casino Marketing department to ensure timely completion of all required deliverables. The Senior Administrator is responsible for compiling all information relevant to Casino Marketing and forwarding the information to other departments such as Accountings, General Administration, Marketing and Purchasing, when necessary.

Essential Duties & Responsibilities

  • Responsible for the organization and maintenance of administrative functions assigned to the Director of Guest Services and to various directors within the Casino Marketing departments as needed in order to meet assigned deadlines.
  • Monitors and follows progression of outstanding projects assigned to other department management staff such as process improvements, budgets, procedures, etc. and reports out to leadership.
  • Serves as a liaison in the Director, Guest Services absence, for incoming correspondence or phone calls/messages and directs callers to the appropriate party, when possible. Communicates with department stakeholders along with general leadership on various subjects requiring immediate attention.
  • Monitors daily, weekly and monthly scheduling as a personal assistant to the Director, Guest Services in order to meet the urgent demands of the position.
  • Reviews contracts related to Casino Marketing for any areas of concerns prior to submission. Processes paperwork necessary to complete contract requirements, collaborates with the Contract Administrator, General Administration and Accounting to ensure progress.
  • Participates in department meetings to ensure attendance and follows up on any outstanding action items.
  • Creates and maintains a master filing system, which is used by leadership.
  • Maintains necessary needs of the Director of Guest Services and other directors within Casino Marketing.
  • Supports the duties of other administrative assistants, as necessary. Performs other tasks that may include payroll, and supply ordering.
  • Performs other duties as assigned to support the efficient operation of the department.

Requirements

Education/Experience/Qualifications

  • High School diploma or GED is required.
  • Bachelors degree in Business Administration or other related field is preferred.
  • Minimum one (1) year guest services experience is required.
  • Minimum one (1) year experience in an office environment is preferred.
  • Equivalent combination of education and progressive, relevant and direct experience may be considered in lieu of minimum educational/experience requirements indicated above.
  • Must exhibit strong knowledge of the policies and procedures of the department.
  • Must be demonstrate the ability to be confident in assuming a leadership role with office organization and safety protocols.
  • Must possess excellent clerical, typing and organizational skills.
  • Intermediate proficiency in Microsoft Office (Word, Excel and Outlook) is required.
  • Must be detail oriented and able to work independently as well as with others.
  • Demonstrated maturity and poise; ability to employ perfect discretion with privileged information.
  • Must maintain a professional appearance at all times.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
