The primary role of the Sales Coordinator position is to perform general office duties to support the Sales and Marketing team in Gulf Breeze, Florida (Hampton Inn & Suites).  Example tasks include filing, sending emails, answering phone calls, faxing, copying, mail handling, loading special or negotiated rates into OnQ PM System as well as maintaining customer and company profiles.

This role will also assist in selling guest rooms and event space as directed by the Dual Director of Sales and General Manager.  Providing high-level administrative support by conducting research, preparing reports, collecting & processing sensitive data, resolving guest issues and perform other clerical functions as needed.

Requirements:

Essential duties and responsibilities include, but are not limited to: 

  • Promptly answer phone calls and respond to inquiries.
  • Answer client/guest questions about property facilities & services.
  • Perform hotel site tours with potential clients and guests.
  • Must be able to respond to inquiries in a timely manner even when away from hotel. 
  • Effectively communicate with other hotel departments regarding group and corporate client needs.
  • Serve as a point of contact for clients and communicate with them by phone, email and in-person.
  • Prepare sales-related documents throughout the sales process (Ex: proposals, contracts, event orders, etc.)
  • Gather materials and assemble information packages for future and current clients/guests.
  • Arrange and coordinate meetings, events and appointments.
  • Assist in managing online presence and social media content for each hotel.
  • Efficiently manage group cut off dates, block inventory, rooming lists, pre-arrival requests, billing and any other needs contracted by the client.
  • Meet with clients in the absence of the Director of Sales to convey details of the sale effectively and professionally to the client.
  • Conduct research and collect data to prepare sales reports and documents.
  • Load and manage rate codes and room blocks in OnQ R&I property management system.
  • Maintain sales account information in client database.
  • Process Hilton Honors Event Planner Points upon group departures, when applicable.
  • Assist Director of Sales in generating group and corporate leads through internet prospecting, networking and telemarketing.
  • Coordinate necessary arrangements with vendors relating to sales - as needed.
  • Act as the designated onsite liaison for in-house groups, meetings & corporate clients. 
  • Perform other duties as requested by Director of Sales and management. 

Qualified candidates must meet the following criteria: 

  • Strong communication skills, both written and verbal 
  • Strong customer service and problem solving skills 
  • Professional demeanour 
  • Excellent listening skills 
  • Exceptional detail in follow-up 
  • Strong computer skills
  • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Must have reliable access to vehicle for transportation 

Education/Experience: 

  • High School diploma or equivalent
  • A minimum of two years of work experience in hotel sales, front desk &/or administrative field is preferred.
  • Compensation based on experience.
