About This Job

Job Summary

This position is responsible for the reception area of the spa. It includes greeting guests, answering phones, assisting with questions regarding spa services and products, booking all appointments, checking the guest into the computer system upon arrival and charging for services performed.

Qualification Standards

Education Requirements
High School Diploma or equivalent is required.
License/Permits Required
  • Must be detail-oriented, have the ability to multi-task, and work efficiently in a fast-paced environment.
  • Must possess excellent listening, communication and customer service skills.
  • Must be a team player and enjoy working with people.
  • Must also possess basic math and money handling skills.
  • Must be able to work nights and weekends
Knowledge of Computer Hardware or Software
  • Strong computer skills required such as Excel and Microsoft Word.
  • Previous Experience Required
    Exposure to hospitality/salon/spa customer service environment for a minimum of two years is preferred.
Physical Requirements
  • Flexible and long hours sometimes required; that could include nights, weekends, and holidays.
  • Must be able to remain in a stationary position 80% of the time. Light work -- exerting up to 20 pounds of force occasionally to lift, carry, push, pull or otherwise move objects.

  • Must be able to evaluate and select among alternative courses of action quickly and accurately.
  • Must be effective at listening to, understanding, and clarifying the issues raised by Associates, Supervisors, Department Heads, Senior Management, and guests.

Essential Duties & Functions
  • Properly open and close spa each day according to standard operating procedures.
  • Accurately book, change, and cancel spa appointments in a friendly, courteous and efficient manner.
  • Acknowledge and greet everyone who enters and leaves spa facilities.
  • Assist with providing detailed descriptions of spa treatments, packages, services, facility features and hours of operation.
  • Maintain a spa desk bank.
  • Answer the phone promptly and use the guest's name throughout the conversation.
  • Actively promote the spa, treatments, services, sessions and retail, as well as programs, promotions and/or discounts available and up-sell products and services when appropriate.
  • Ability to understand all discount rates, special packages, products, services, and general info needed to handle guest spa reservation requests on a daily basis.
  • Assist with the daily operation of the spa including booking appointments, inventory of product, cleanliness of all areas, and linen control.
  • Assist with and monitor cleanliness of the spa and comply with safety and health code regulations.
  • Be familiar with the organization of the entire resort and know the function of each department.
  • Comply at all times with Kalahari Resort standards and regulations to encourage safe and efficient resort operations.
  • Be aware of all rates, packages, and promotions at all Kalahari Resort properties.
  • Be familiar with all in-house groups and activities at all Kalahari Resort properties.
  • Address errors, complaints, and feedback from guests and relay information to proper personnel, as well as share the customer feedback to improve service.
  • Must understand importance of keeping all guest information confidential.
  • Establish and maintain good communications and teamwork with fellow associates and other departments within the resort.
  • Have knowledge of and assist in all emergency procedures as required.
  • Maintain a clean; safe, fully stocked and well organized work area.
  • Assist with overall cleaning duties of the entire spa.
  • Responsible for typing and filing new forms, and inputting computer information from comment cards.
  • Assist with displaying and pricing merchandise. Pickup and drop off dirty laundry as needed.
  • Restock and remove robes throughout the day. Refill coffee and hot water as needed and offer beverages to guests.
  • Clean tanning bed per spa standards.
  • Dust shelves and keep all areas clean including closets.
  • Observe safety and security procedures and report potentially unsafe conditions. Attend meetings/training as required by management.
  • Participate in Daily Promise meetings.
  • Perform other duties as requested by management.
