Job Summary

The Setup Supervisor is responsible to ensure the proper setup before and clean up after of all scheduled functions in a timely and efficient manner.
Required Skills

Must be able to read, write and fluently speak English. Bilingual skills helpful.
Skilled in oral/written communication and listening are required.
Excellent organizational, problem solving, supervisory and time management skills required.
Guest Relations: To have the ability to work with clients, management and associates is critical.
General knowledge of the practices and procedures of a convention center, hotel conference services and/or banquet department.
Ability to utilize various types of cleaning and setup equipment included but not limited to: vacuums, chair dollies, carts, audio visual equipment.
Need to be a team player, willing to help anyone in the immediate area on a minute's notice.
Must be detail oriented, a self-motivator, and able to work independently with minimal supervision.
Previous Experience Required

Must have at least 1 year of banquet and/or setup experience in a supervisory capacity.
Prior experience as a server, captain, and set-up houseperson is required.
Have a broad understanding of the tourism industry and the day-to-day operations of a hotel/resort are helpful.
Essential Duties & Functions

Ensure proper setup and functionality of meeting rooms, including breaks, audio/visual and other equipment, per banquet event order (BEO).
Maintain the highest quality of service related to all banquet and meetings service.
Ensure associate and guest safety in the set-up and arrangement of banquet functions.
Direct and ensure the proper setup, handling, usage and storage of all banquet equipment and supplies.
Greet and maintain warm, hospitable guest relations in all guest contact.
Maintain the cleanliness of all banquet rooms, service areas and equipment.
Maintain constant communication with Setup Manager.
Supervise the work of staff by delegating assignments and checking the quality of completed work.
Assist Setup Manager in hiring, training, and performance reviews of setup staff.
Assist with completion of all forms within the department (guest complaints, lost business, weekly recaps, contracts, proposals, banquet checks, etc.)
Ensure prop and storage rooms are clean and organized.
Maintain a high quality image of the hotel through effective housekeeping, maintenance, and sanitation in the area of responsibility.
Respond to individual guest needs as they occur.
Ensure that additional food, beverage, and meeting usage over and above the original BEO is being captured and recorded on master BEO's in the catering office daily.
Assist with preparation and adjustment of work schedules in accordance with staffing guidelines and labor forecasts and process payroll accordingly.
Assist in providing an issue free work environment through motivation, support, consistency, training and development for all associates.
Assist in handling catered food and beverage functions when needed.
Solve, rectify and mediate all guest complaints and maintain guest complaint reports.
Consistently act in accordance with Company's management relation's philosophy, strategy and procedures as well as Company policies and procedures and department SOP's.
Ensure associates uphold all services, procedures and communication standards as outlined by Standard Operating Procedures.
Maintain a harmonious relationship with all other departments within the hotel.
Participate in staff meetings such as the Daily Promise, to ensure optimal communication between entire staff.
Understand all duties of setup staff and assist when needed.
