Executive Meeting Manager

The Executive Meeting Manager (EMM) will solicit, negotiate, and confirm new and repeat business through various efforts (lead follow up, etc.) to maximize revenues to meet/exceed individual revenue goals. The EMM will prepare and execute sales contracts, event orders, and group resumes to ensure quality product delivery and customer satisfactions. The EMM will serve and assist in coordinating all function details with clients to include but not limited to space requirements, meeting times, equipment, menus, billing, etc.

A dynamic Sales professional who has the ability to achieve EXCELLENT business results, and possesses the desire to grow and advance. Responsibilities include but are not limited to;

  • Establishes lead sources for each targeted market segment and makes initial sales solicitation
  • As assigned by the Director of Sales & Marketing, responsibilities include prospecting and penetrating additional Group business, regardless of the size of the room block.
  • Creation and maintenance of sales file for clients, to include weekly/monthly reporting on bookings and call activity.
  • Utilizes CI/TY as a lead log for follow up and client call trace systems.
  • Working closely with leadership filling in periods of soft demand during off peak and shoulder seasons, obtaining rate and stay approvals prior to transacting sales contracts with client.
  • Network with affiliated PHR hotels, competitive hotels for lead source generation.
  • Adheres to the approved selling activity quotas, reporting progress to DOS on a weekly and monthly basis.
  • Responds to franchise generated group leads.
  • Obtains rate and restriction approvals from Director of Sales and or Director of Revenue Management prior to extending group sales agreement to client.
  • Processes all group sales contracts and ensures booking details are thoroughly communicated with Reservations and Operations.
  • Generates a specified number of client site inspections each week.
  • Participates with any and all PHR and/or franchise related sales blitz programs, locally and in feeder city markets.
  • Develop and implement creative sales strategies by analyzing historical, current and future trends and booking patterns.
  • Establishes contact and maintains a consistent relationship with all pertinent travel managers and contacts identified as a realistic source of business.
  • Attends daily Business Review meeting and weekly one on ones with Director of Sales & Marketing
  • Actively participates and works closely with any and all lead producing organizations including: area CVB's, Chambers and client trade specific associations.

Fundamentals

A high school degree or equivalent education is required, with a college degree helpful. Clear, effective verbal and written English communication skills are essential.  This position requires excellent organization skills and attention to detail. The ability to operate a telephone, computer, and various software is expected, with Microsoft Word and Excel knowledge helpful. A general understanding of sales operations is also helpful.
