Job Summary

Provide administrative support for the Event Managers and Catering Sales Managers

Essential Job Functions

This description is a summary of primary responsibilities and qualifications. The job description is not intended to include all duties or qualifications that may be required now or in the future. The Hotel operates 24 hours a day and 7 days a week, so operational demands require variations in shift days, starting times, and hours worked in a week.

  • Weekly EO packet distribution, weekly 10 day distribution, changes on EO’s, manage EO binder, manage and distribute POP Ups, pull daily reports and change log, verify banquet checks against EO’s daily, shell resumes, make files for new turnovers, prep for pre-planning sites.
  • Receive and distribute inquires to catering sales team, manage all incoming catering inquiries-phone, e-leads, walk ins, enter new opportunities in CI, prep for sites.
  • Manage deposits for all Event or Catering groups, prepare amenities. Answer telephones in a friendly professional manner. Greet and assist guests entering the Sales Offices.
  • Due to the cyclical nature of the hospitality industry, team members may be required to work varying schedules to reflect the business needs of the hotel.
  • Regular attendance in conformance with the standards, which may be established by the hotel from time to time, is essential to the successful performance of this position. Upon employment, all team members are required to fully comply with hotel rules and regulations for the safe and efficient operation of hotel facilities set forth by Westmont Hotels.
  • Responsible for clerical functions related to the position.
  • Adheres to all Company policies and procedures.
  • Follows safety and security procedures and rules.
  • Knows department fire prevention and emergency procedures.
  • Utilizes protective equipment.
  • Reports unsafe conditions to supervisor.
  • Reports accidents, injuries, near-misses, property damage or loss to supervisor.
  • Provides for a safe work environment by following all safety and security procedures and rules.
  • All team members must maintain a neat, clean and well groomed appearance. (Specific standards outlined in team member handbook).
  • Assists other Events/Catering Personnel when need.
  • Perform any related duties as requested by Director of Catering.

Knowledge, Skills & Abilities

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

  • Able to set priorities, plan, be organized, detail oriented, delegate.
  • Ability to move throughout premises and visually inspect conditions, including bending, stooping and reaching arms overhead.
  • Ability to read, listen and communicate effectively in English, both verbally and in writing.
  • Ability to work effectively under time constraints and deadlines.
  • Ability to concentrate in a high volume, high-pressure area with constant interruptions.
  • Ability to handle multiple tasks simultaneously often under high pressure with little or no supervision.
  • Possess a working knowledge of computers and various software packages including Microsoft Word, Excel and PowerPoint.
  • Working knowledge of CI/TY and Marsha
  • Ability to react quickly and decisively to changes in the department, time schedules, etc.
  • Education: High school graduate or equivalent. Additional training or experience to meet the required job knowledge, skills, and abilities. College degree preferred.
  • Experience: Two years administrative experience preferred. Prior hotel experience preferred.

Physical Demands

  • Ability to grasp, lift, and carry or otherwise move goods weighing a minimum of 25 lbs.
  • Occasional twisting, bending, stooping, reaching, standing, walking,
  • Ability to sit for extended periods of time, 90% sitting and the rest walking
  • Frequent talking, hearing, seeing and smiling.
