About This Job

Administrative duties for all areas of the Housekeeping Department, and Activities Department, duties to include: payroll reports, weekly inventories for guest supplies and cleaning chemicals, weekly purchase orders, monthly reports for club cottage labor, daily work orders, daily monitoring of laundry bills (guest and employees), typing and filing.

Essential Duties and Responsibilities:  Responsible for all administrative duties and daily office functions.  Include the following:  (Other duties may be assigned.)

  • The completion of all payroll and personnel forms including daily payroll edit sheets, weekly payroll with overtime authorization, personal time / new hires / terminations. Tracking of all reviews to ensure they are completed on time.  Ensure all paperwork is properly filed.
  •  Ensure all paperwork is properly filed.
  • Weekly and monthly inventories and ordering. Inventory all guest supplies and chemicals.  Submit weekly orders to Director of Property Services for approval. Complete monthly usage figures and submit to Director of Property Services.
  • Club Cottage Labor Control. Calculate daily labor assigned to cottages.  Complete daily report to show cleaning cost per occupied cottage.  Submit completed report at the end of the month to the Director of Property Services.
  • Daily Work Orders. Review all work orders for clarity prior to submitting.  Track the completion of all work orders.
  • Keep Director of Property Services aware of problem to include lengthy repair times or extremely repetitive work orders.
  • Dry cleaning / laundry bills. Check daily bills to ensure accuracy.  Notify dry cleaners of all problems.  Check final monthly bill for errors.  Submit final bill for approval to Director of Property Services.

  • Have general office skills such as filing, phone and copier

  • Experience in working Housekeeping is preferred
  • Be able to work under pressure

While performing the duties of this job, the employee is regularly required to stand, walk, talk or hear. The employee is occasionally required to sit. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close distance color vision and ability to adjust focus. Must have a valid Florida driver’s license and be able to operate the cottage vans.

Education: Prefer someone with high school diploma and previous hotel experience.

Language Skills: Excellent mathematical, grammatical and problem solving skills.  Ability to compile letters, memos, etc. and run basic computer reports.
