We are looking for a Golf Operations Admin to join our team at beautiful Horseshoe Bay Resort!

Definition: Responsible for all administrative functions of the Golf operation.  

General Duties:

  • Perform office functions: answer phones and relay messages, filing, ordering office supplies, managing schedules, make travel arrangements, routing and preparing mail, answering email.
  • Create and revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, budgetary requirements, and implementing changes
  • Coordinate maintenance of office equipment.
  • Provide information by answering questions and requests about Golf operations.
  • Will assist the retail department with administrative duties including purchase order entry, invoice processing, special orders and uniform orders.
  • Resolve administrative problems and inquiries.
  • Prepare written responses to routine inquiries.
  • Open, sort and distribute incoming correspondence and emails.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies.
  • Coordinate and maintain records for staff, telephones and petty cash.
  • Handle details of a confidential nature.
  • SMS- trainer and supervisor.
  • Communicate and coordinate well with other Departments.
  • Other administrative duties as assigned.

Required Certifications:

  • Minimum age requirement – 18+
  • Valid driver’s license and ability to meet the requirements of driver insurability as established by the insurance carrier required.
  • High school diploma or equivalent experience
  • Proficient in Microsoft Office Suite software.

  • Strong written and verbal communication skills and command of English language.
  • Web browser experience and internet research.
  • Competent in use of all standard office equipment.
  • Organizational skills and detail oriented.
  • Self-starter with ability to work well with a team.
  • Strong interpersonal skills.
  • Must be able to interact and communicate effectively with internal/external public.
  • Must be able to comprehend reading materials, speak, read and write English.
  • Must be able to communicate professionally by telephone with proper etiquette.
  • Must have neat and pleasant overall appearance; adhering to standard Resort dress code policy.

Physical & Mental Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must have the physical strength, stamina and agility to perform the assigned duties.
  • Must be able to reach top drawer of four-drawer cabinet or stoop to the bottom drawer.
  • Must be able to occasionally lift and/or move up to 15 pounds.
  • Must be able to sit for extended periods of time.
  • Follow all company and safety and security policies and procedures.
  • Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.
  • Report maintenance needs, accidents, injuries and unsafe work conditions to manager.
  • Requires problem solving abilities.
  • Maintain a clean, safe and environmentally responsible work environment.
  • Must be able to interact with co-workers and have a sense of TEAM.
