A remarkable 79,000 square feet of meeting and convention space accommodate gatherings of any size. We are looking for a dynamic individual to join our team! Sales Coordinator will assist in the overall efficient operation of the Sales Department, as well as support our Finance team.

ESSENTIAL JOB FUNCTIONS:

Prepares all event documentation and coordinates with hotel departments to ensure consistent, high level service throughout pre-event, event and post event phases.

Manages and coordinates distribution of BEO packets, floorplans, group resumes, and daily change log.

Manages deposit schedule for upcoming groups, ensures proper posting and sends receipts to client as requested.

Assists Conference Services and Sales team with other job-related tasks, such as custom printed menus, buffet signs, reserved signs, parking vouchers, parking discount codes, etc.

Acts as liaison between Sales and Conference Services and other departments.

Proactively identifies operational challenges associated with events and works with the hotel staff to solve these challenges and/or develop alternative solutions.

Manages banquet and meeting space for assigned groups.

Contact clients for reminders for guarantees and signed BEOs.

Post Marriott Rewarding Events Bonvoy points after event has concluded.

Ensure all tasks are completed after event concludes and file folder is filed (billing, signed paperwork on file, points posted, etc).

Conduct site tours as requested by Sales and CS.

Assist sales staff in promoting hotel, developing leads and securing re-bookings.

Access and input RFP responses into lead sources such as IDSS, Cvent, Wedding Spot, and any other system as requested by Sales or CS.

Access and input data into a computer system to generate booking reports.

Manage Birchstreet PO’s for Sales and CS.

Manage Allen Police Department event schedule requests and process check requests for payment.

Comply with attendance rules and be available to work on a regular basis.

Review hotel night audit reports to verify the accuracy and completeness of direct billing account transactions.

Prepares timely and accurate billing of customer accounts and compiles supporting documentation.

Creates reports regarding the status of customer accounts as requested.

Research customer discrepancies and past due amounts.

Perform any other job-related duties as assigned.

REQUIRED SKILLS AND ABILITIES:

Must have at least 1-2 years of relevant hotel experience. CI/TY knowledge is a plus. Must have the ability to communicate in English.  Self-starting personality with an even disposition.  Maintain a professional appearance and manner at all times.  Can communicate well with guests.  Must be willing to “pitch-in” and help co- workers with their job duties and be a team player.  Knowledge of a hotel structure and how all departments interact.  Ability to effectively communicate with customers in a friendly and positive manner, in order to solicit business, meet client needs and resolve complaints.  Ability to move throughout the hotel to conduct site inspections.
