Job Description Summary

The Reservations Coordinator will coordinate all hotel reservations, both transient and group. Build/enter Rooming lists, individual reservations in all systems. The Reservation Coordinator is an integral member and will be responsible for managing the Passkey systems and CeloPay systems and monitor the guest reservation email account. This role will work closely with the Director of Sales, Director of Revenue, Director of Front Office and Sales and Services managers. Ideal candidate must own the position, handle consistent work load, multi-task while prioritizing duties and show strong initiative.

Job Description: Key Job Functions

  • Maintain a high level of attention to detail and accuracy of data input.
  • Manage the Passkey system
  • Monitor third party websites for pre-arrival special requests and questions and take the appropriate actions to insure guest’s delivery.
  • Utilize systems related to your job functions including but not limited to  OPERA, Synxis, Passkey, third party housing sites.
  • Monitor reservation email queries and comments and address appropriately.
  • Enter reservations via email and phone from Business Travel Manager pertaining to special corporate accounts.
  • Enter group blocks and rooming lists into all necessary reservation and PMS systems and communicate group information to the front office.
  • Coordinate billing and securing method of payment for group and transient reservations using the CeloPay system
  • Follow through and detail every group master or transient reservation.  Build group blocks to deploy the standard business strategy for each group type (call-in, rooming list, wedding, etc.).  Manage inventory, keeping it in sync between Opera and Synxis.  Setup and manage reservation links and test prior to sending to Service Managers and/or Meeting Planners.  Manage rooming lists.  Manage primary inventory to ensure room availability above the blocks is available to generate upsell revenue.  Make, modify and cancel reservations as requested.    
  • Answer all calls and questions regarding hotel facilities and rates in a professional manner at all times.  Promptly provide accurate information regarding availability, accommodation types, transportation to/from the hotel, rate, etc. Promote Sonesta and brand-specific marketing programs.  Know the principle competition and leverage hotel’s relative strengths.
  • Organize reservation activities and filing systems.
  • Correspond professionally in writing with internal/external guests via email.
  • Provide departments with rate and inventory information upon request.
  • Attend meetings as deemed necessary 
  • Follow through on all changes submitted by the Sales and Catering department.
  • Enter special requests and alert front office to ensure follow-through and guest satisfaction.
  • Coordinates gift certificate redemptions on request.
  • Return telephone messages and email request same day. 
  • Run weekly reports related to group bookings and transient pick up.
  • Maintain neat and organized work areas.
  • Ensure compliance with appearance standards.

Qualifications and requirements:

  • High school education or equivalent
  • Full Service Hotel experience preferred
  • Reservations experience preferred
  • Strong organizational skills.
  • Ability to prioritize tasks.
  • Strong computer and data entry skills.
  • Ability to read group contracts and recaps, and format according to requirements of contracts.
  • Ability to effectively deal with customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger to collect accurate information. 
  • Ability to access, read and accurately input information using moderately complex computer systems. 
  • Ability to establish and maintain effective working relationships with associates, customers and patrons.
  • Ability to sit for extended periods of time. 
  • Ability to have regular and punctual attendance.
  • Ability to adhere to Sonesta grooming standards.
  • Ability to utilize communication equipment (telephones, radios, computers, etc.).
  • Ability to communicate clearly and effectively with guests in English.
  • Ability to interact with guests and other employees in a courteous, empathetic, and discreet manner.
