About This Job

PRIMARY OBJECTIVE OF POSITION:

To provide administrative support to the Engineering department as well as oversee correspondence to guests in response to online & social media comments/reviews, i.e. Trip Advisor.  

RESPONSIBILITIES AND JOB DUTIES:

  • Answer the phone; compose or edit outgoing correspondence to suppliers and hotel guests; file documents and maintain accurate records as required
  • Assist Director of Engineering in communicating with the Engineers on duty and keep a log of all details pertaining to guest calls regarding maintenance of rooms and equipment in rooms or public area in a timely manner
  • Track preventative maintenance programs and coordinate with the Front Desk on a daily basis to block rooms and share this information with the engineering team
  • Respond to all Trip Advisor and online social media reviews from hotel guests and clients
  • Respond to complaint/complimentary correspondence received by the Hotel
  • Responsible for creating Certificates of Donation from the hotel as necessary
  • Handle emails/requests from corporate office in Hong Kong pertaining to engineering, guest complaints and corporate rooms reservations
  • Prepare purchase orders in Birchstreet for the engineering department; provide invoices and vendor W9 forms to accounting department when they are received
  • Sustainability and Connect program Champion
  • Assist the Director of Engineering in coordinating appointments with contractors and vendors.
  • Review all donation requests; prepare appropriate correspondence; maintain ledger and all correspondence for all comp rooms & Certificates of Donation
  • Additional duties not mentioned above may be requested by supervisor
  • Track par stocks and distribution of items from inventory for Engineering as necessary

PHYSICAL DEMANDS:

  • Digital dexterity, e.g., using a computer keyboard, computer/software applications
  • Ability to use oral communication to perform work i.e. answer telephones, participate in meetings, take detailed meeting notes
  • Stand, sit, reach, grasp, lift/carry, walk, climb, kneel, squat, bend, push/pull

SPECIAL SKILLS REQUIRED:

  • To assist and develop working relationships with external and internal customers, representing the company and becoming a known point of contact

Adapts quickly and positively to new situations and continues to be productive in changing circumstances and while multitasking

EDUCATION/ EXPERIENCE /LICENSES OR CERTIFICATES / REQUIRED:

  • College degree preferred
  • Computer literate in Excel, PowerPoint, Microsoft word, Outlook
  • Ability to make decisions requiring limited judgment i.e. filing, prioritizing work load

Excellent communication skills in both written and spoken English.

  • Should be self-motivated, organized, responsible, team player who has the ability to maintain high level of confidentiality
  • Strong attention to detail required
