What will I be doing?

This role focuses on vital non-guest facing processes to ensure compliance with management company and brand standards. Attention to detail is critical. This position is responsible for maintaining logs of attendance for all departments and preparing/tracking payroll documentation on a regular, weekly basis. In addition, tracking compliance with audit standards (temperature logs, sign in sheets, mechanical maintenance logs, inspection tracking) will be a large part of this role. This role will be exposed to all parts of the operation of the hotel and will ensure that each department is maintaining the highest level of compliance in all audit standards. At the direction of the GM, this associate will also support the hotel’s project planning and tracking initiatives, ensuring the condition and cleanliness of the guest rooms meets all expectations and providing weekly updates on the status of ongoing projects.

What are my essential job functions?

Act as Liaison between the Hotel Leaderships and clients in their absence.

Uses various computer word processing and other software packages to enter data, produce contracts, correspondence, forms, memorandum and other documents.

Answer telephone and respond to caller inquiries speaking in a clear and pleasant manner. Exercise decision making skills to direct caller’s request. Accurately record messages for staff and distribute the written messages to the staff members in a timely manner.

Distribute documents to appropriate persons and locations to ensure prompt processing of time sensitive information by hotel and client staff. Transport documents weighing up to 10 pounds to offices, mailrooms and other locations throughout the hotel building. Retrieve documents from and place documents into proper receptacles located up to 6 feet high, such as mailboxes, file cabinets, etc.

Ensure that all arrangements are handled properly, coordinating with other departments through oral and written instruction.

Organize, file and retrieve documents in appropriate binders in order to maintain essential records used in the department operation.

Comply with attendance rules and be available to work on a regular basis.

Perform any other job-related duties as assigned.

Ideal candidates have a genuine passion for organizational management. As an Operations Coordinator, you are responsible for managing and maintaining the daily functions of the executive’s offices. Previous office management experience is a requirement for the position.

Ideal candidates have flexible schedules with the ability to multi-task and work independently, as needed.
