Definition:

The main purpose of the Rooms Controller is to coordinate and organize the hotel’s guest room inventory. The Rooms Controller will act as a liaison between the Housekeeping, Front Office, Engineering, and Reservations department regarding the status and distribution of all guest rooms.

General Duties:

  • Respond to any reasonable task as assigned by the manager.
  • Aid guests in locating other areas of the hotel (walk them to destination if possible)
  • Pre check arriving reservations for requests and communicate with corresponding departments to fulfill those requests.
  • Look into future reservations, up to two weeks in advance, for any upcoming requests.
  • Aid Front Desk during peak periods for arrivals/departures, answering phone calls, or guest questions/requests.
  • Communicate with the Sales Team on any upcoming show rooms and assign as needed.
  • Monitor out of order rooms and communicate with Engineering/Housekeeping if they need extensions.
  • Monitor Condo reservations and ensure an even distribution of reservations are assigned to each location.
  • Follow all company safety and security policies and procedures; report accidents, injuries, and unsafe work conditions; complete safety training and certifications.
  • Follow all company policies and procedures; ensure clean uniform and professional personal appearance; maintain confidentiality of proprietary information; protect company assets.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  • Ensure adherence to quality expectations and standards; identify, recommend, develop, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings.

Employment Standards:

  • High school diploma or GED and one or more years of customer relations experience required.
  • Working knowledge of reservations, front office, and Microsoft Office Suite.
  • Previous experience with hotel front office.
  • Strong written and verbal communication skills in English.
  • Self-starting personality with an even disposition.
  • Maintain a professional appearance and manner at all times.
  • Strong interpersonal skills and willingness to “pitch-in” and help co-workers with their job duties and be a team player.
  • Business acumen to work with third party vendors and coordinate services.
  • Customer service skills and attention to detail.
  • Adaptability to change and flexibility to reprioritize tasks accordingly.
  • Skill and ability to work independently and as part of a team.

Physical & Mental Requirements:

  • Able to talk and listen.
  • Able to walk; use hands to finger, handle or feel; and reach with hands and arms.
    • Able to stand for extended periods of time.
    • Able to use hands to finger, handle or feel; reach with hands and arms; and talk or hear.
    • Able to occasionally lift office products and supplies up to 20 pounds.
    • Able to use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
