EDUCATION: Ability to read, write, speak, follow and give written and/or oral directions in English; High School diploma or equivalent. Some college preferred.

TRAINING AND EXPERIENCE: Must have two years office administration and desktop publishing experience; must be able to type 40 words per minute minimum. Experience in the Hospitality Industry is a plus. Able to operate a digital camera and catalog photographs.

KNOWLEDGE & ABILITIES: Must possess superlative customer service skills and be able to develop warm relations with members. Requires Microsoft Office and knowledge of Adobe Creative Suite; In Design or other publishing software. Jonas experience is a plus. Background in advertising and/or event planning is a plus.

JOB SUMMARY: Responsible for sales and administrative support of Membership Director. Responsible for daily member e-mails, e-mail blasts and monthly newsletter production. Must be able to coordinate successful member events resulting in the utmost member satisfaction. General office administrative duties.

PHYSICAL ABILITIES: Must be able to sit, stand and work on feet, moving about at a quick pace for several hours at a time. Must be able to lift, carry, and move a maximum of 35 pounds. Must be able to negotiate stairs throughout the course of the shift.

DUTIES AND FUNCTIONS:

GENERAL:

  1. Be punctual at all times and have reliable attendance.
  2. Must be able to work a flexible schedule, to include evenings, weekends and holidays as scheduled.
  3. Clothing must be conservative and in appropriate color, proper taste, crisp, clean and in good repair. Name tag required.
  4. Demeanor must be professional and welcoming.
  5. Must be able to develop and maintain open communication with members, the public, vendors and fellow employees.

MEMBERSHIP:

  1. Develop and execute monthly membership socials and events. Attend events as scheduled by the Membership Director. Photograph and catalog events.
  2. Communicate with other departments as to event schedules and requirements.
  3. Produce profit and loss spreadsheets for each event. Maintain accurate permanent files and history.
  4. Coordinate and produce monthly member newsletter with approval of the Membership Director.
  5. Develop, design and produce all promotional media at the direction of the Membership Director.
  6. Produce monthly updates for web designer to include newsletter posting, calendar updates and recipe of the month.
  7. Meet and greet members at daily lunch as directed by the Membership Director.
  8. Maintain inventory of membership packets and other mailing materials. Order from vendors as required.
  9. Do individual and mass mailings as required. Maintain history of potential member contacts.
  10. Send new member and temporary member packets. Print new member cards and maintain records on car decals.
  11. Produce member in good standing letters for members using reciprocal clubs.
  12. Maintain accurate member and reciprocal club files.
  13. Assist Membership Director with tours of the facility. Be knowledgeable of club fee structure and other pertinent information to be able to assist in closing sales as requested by the Membership Director.
  14. Take minutes of monthly Board of Directors Meeting.

ADMINISTRATIVE:

  1. Direct visitors, vendors and job applicants in the office.
  2. Distribute daily mail.
  3. Order supplies and printed matter for office staff.
  4. Backup switchboard for daily lunch break, and as necessary.
