WAGE: $27.00 - $30.00 per hour (Based on experience)

The Sales Coordinator is responsible for providing administrative support to the Sales Managers and the Director of Sales & Marketing. Responsible for servicing existing clients as assigned by the Director of Sales & Marketing. Responsible for providing excellent guest service to all Hotel Guests and potential guests.

WORK HOURS:

Will be required to work in-office and precludes remote or hybrid work. Monday - Friday.

JOB REQUIREMENTS:

  • High school graduate, some college.
  • Must have 1-2 years sales administrative experience, hotel experience preferred.
  • Associate’s degree preferred or equivalent combination of education and experience.

JOB DUTIES AND RESPONSBILITIES:

  • Responsible for prompt handling (within the business day) and distribution of all sales leads, emails, and inquiry calls to the appropriate sales manager.
  • Responsible for logging leads in system accurately and timely
  • Responsible for group billing in coordination with sales team and accounting team
  • Follows up on the progress of groups booked, such as room night pick up, inputting rooming lists, cut off dates, etc.
  • Generates reports and sales-related documents for clients, sales team, and Director of Sales & Marketing
  • Knowledge of each sales managers’ market segments and responsibilities in order to direct client inquiries appropriately.
  • Sends menus, hotel information, thank you letters and all other correspondence to clients.
  • Responsible for processing of sales contracts turnovers, typing internal and external correspondence and distributing such paperwork to hotel departments and hotel guests as needed.
  • Assist in the compilation of figures and data for month end and weekly sales reports.
  • Assist team with preparation for sales trips, trade shows and client appreciation events.
  • Prepare VIP reservations and other amenity requests.
  • Responsible for faxing, copying, filing and any other clerical duties.
  • Handle guest requests as needed. Be knowledgeable about the hotel’s facilities and services. Answer questions and relays basic information to the guest.
  • Ensure all guests who experience a problem receive an appropriate response, any promised compensation is delivered, and an appropriate follow up in a timely and professional manner.
  • Attends department meetings and as needed, attends interdepartmental meetings.
  • Follow supervisor’s instructions and completes other duties as directed or assigned.
