Essential Duties & Responsibilities
Strategic Event Leadership
- Manage corporate meetings with 15 or fewer guestrooms.
- Serve as the primary liaison for clients, ensuring seamless communication and execution.
- Develop and execute detailed event plans, timelines, and Banquet Event Orders (BEOs).
- Oversee on-site execution to ensure all event components meet or exceed expectations.
Client Relationship Management
- Build and maintain strong, long-term client relationships to drive repeat and referral business.
- Act as a trusted advisor to clients, offering creative solutions and enhancements.
- Handle VIP clients and sensitive situations with professionalism and discretion.
- Ensure timely follow-up and resolution of any concerns.
Revenue Generation & Financial Oversight
- Maximize total revenue through strategic upselling of food & beverage, audiovisual, and event enhancements.
- Review contracts, billing, and final invoices for accuracy and completeness.
- Support forecasting, pace reporting, and revenue strategy initiatives.
Operational Collaboration & Leadership
- Partner with Sales, Banquets, Culinary, Front Office, and Engineering teams to ensure flawless execution.
- Lead internal event meetings (BEO, resume, operations) and communicate all details clearly.
- Ensure compliance with brand standards, safety regulations, and hotel policies.
Guest & Brand Experience
- Deliver elevated, personalized service reflective of DoubleTree’s reputation for warm hospitality.
- Ensure all events create memorable, high-quality guest experiences.
- Proactively anticipate needs and resolve issues with urgency and professionalism.
Qualifications & Requirements
- Bachelor’s degree in Hospitality, Business, or related field preferred, but not required
- 2+ years of progressive experience in event management or catering, preferably in a full-service property.
- Strong leadership, negotiation, and problem-solving skills.
- Advanced knowledge of hotel/event systems (e.g., Delphi, OnQ, or similar) or willingness to learn
- Excellent communication, organization, and multitasking abilities.
- Ability to work flexible hours, including evenings, weekends, and holidays.
Physical Requirements
- Ability to stand and walk for extended periods during events.
- Ability to lift and carry items up to 25 lbs occasionally.
- Ability to navigate large event spaces, including ballrooms and meeting rooms.
Work Environment
- Fast-paced, high-touch hospitality environment.
- Combination of office-based planning and on-site event execution.
- Frequent interaction with clients, vendors, and internal teams.
