Position Title: Executive Assistant to the CEO 

Reports To: Chief Executive Officer 

Position Summary 

The Executive Assistant to the CEO serves as a trusted partner, providing high-level administrative, operational, and strategic support to the Chief Executive Officer of a growing hospitality management company specializing in select-service hotels. This role requires exceptional organizational skills, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. 

The Executive Assistant serves as the primary liaison between the CEO, corporate leadership, hotel general managers, ownership groups, vendors, and external business partners while ensuring the CEO's time, communications, and priorities are managed efficiently. 

MJC Hospitality is in search of an Executive Assistant to CEO for our office in Warner Robins, GA. 

Key Responsibilities 

Executive Support & Leadership Collaboration 

  • Manage the CEO's complex calendar, scheduling meetings, travel, and appointments while anticipating conflicts and changing priorities. 

  • Serve as the primary point of contact for the CEO, facilitating communication with the Executive Leadership Team, hotel General Managers, Regional Directors, ownership groups, franchise representatives, and external business partners. 

  • Partner closely with executive leaders across Operations, Finance, Accounting, Human Resources, Revenue Management, Sales & Marketing, and Development to coordinate priorities, meetings, and strategic initiatives. 

  • Coordinate domestic travel arrangements, including flights, hotels, ground transportation, and detailed itineraries. 

  • Screen calls, emails, and correspondence, prioritizing communications and responding on behalf of the CEO when appropriate. 

  • Prepare agendas, presentations, reports, meeting materials, and briefing documents. 

  • Draft professional correspondence, announcements, and executive communications. 

  • Track action items and ensure timely follow-up on executive priorities. 

Meeting & Project Coordination 

  • Coordinate Executive Leadership Team meetings, Board meetings, ownership meetings, General Manager meetings, and strategic planning sessions. 

  • Prepare meeting agendas, record minutes, and monitor completion of assigned action items. 

  • Work closely with department leaders to gather information, prepare executive reports, and ensure timely completion of deliverables. 

  • Assist in planning annual leadership conferences, regional meetings, company events, and executive retreats. 

  • Support special projects, acquisitions, hotel openings, transitions, and corporate initiatives. 

Hospitality Operations & Corporate Support 

  • Build strong working relationships with hotel General Managers and corporate department leaders to facilitate communication between hotel operations and the executive office. 

  • Coordinate operational reports, financial updates, HR initiatives, performance metrics, and executive dashboards for the CEO. 

  • Collaborate with the Accounting and Finance teams on executive reporting, budget presentations, expense reporting, invoice approvals, and ownership reporting as needed. 

  • Partner with Human Resources to coordinate executive recruiting activities, leadership onboarding, organizational communications, employee recognition programs, and confidential personnel matters. 

  • Assist with franchise meetings, ownership communications, and brand-related initiatives. 

  • Maintain confidential records related to hotel operations, management agreements, executive projects, personnel matters, and strategic initiatives. 

  • Support due diligence efforts for new hotel acquisitions, management transitions, and development opportunities. 

Relationship Management 

  • Develop and maintain positive working relationships with Executive Leadership Team members, General Managers, Regional Directors, Accounting, Human Resources, Operations, ownership groups, franchise representatives, vendors, and business partners. 

  • Act as a trusted liaison between the CEO and internal stakeholders, ensuring clear communication and timely follow-up on organizational priorities. 

  • Welcome visitors and represent the executive office with professionalism, discretion, and the company's culture of hospitality. 

  • Handle highly confidential business, financial, operational, and personnel information with the utmost integrity and discretion. 

Administrative Management 

  • Maintain electronic and physical filing systems. 

  • Process expense reports and corporate credit card reconciliations. 

  • Coordinate vendor invoices and executive office expenditures. 

  • Monitor office supplies and executive office needs. 

  • Assist with corporate compliance documentation and contract administration. 

Relationship Management 

  • Develop and maintain positive working relationships with Executive Leadership Team members, General Managers, Regional Directors, Accounting, Human Resources, Operations, ownership groups, franchise representatives, vendors, and business partners. 

  • Act as a trusted liaison between the CEO and internal stakeholders, ensuring clear communication and timely follow-up on organizational priorities. 

  • Welcome visitors and represent the executive office with professionalism, discretion, and the company's culture of hospitality. 

  • Handle highly confidential business, financial, operational, and personnel information with the utmost integrity and discretion. 

Qualifications 

Education 

  • Bachelor's degree preferred, or equivalent combination of education and experience. 

Experience 

  • 5+ years of executive administrative experience supporting C-level executives. 

  • Hospitality, hotel management, real estate, or property management industry experience strongly preferred. 

  • Experience supporting multiple executives or a fast-paced executive office is highly desirable. 

Knowledge, Skills & Abilities 

  • Exceptional organizational and time-management skills. 

  • Strong verbal and written communication abilities. 

  • High level of professionalism, integrity, and confidentiality. 

  • Excellent problem-solving and decision-making skills. 

  • Ability to prioritize multiple projects with competing deadlines. 

  • Strong attention to detail and follow-through. 

  • Ability to work independently with minimal supervision. 

  • Strong interpersonal skills and executive presence. 

  • Flexibility to adapt to changing business priorities. 

Technical Skills 

  • Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) 

  • Microsoft Teams and Zoom 

  • Adobe Acrobat 

  • SharePoint or similar document management platforms 

  • Experience with expense management and travel booking systems 

  • Familiarity with hotel management systems (preferred but not required) 

Preferred Qualifications 

  • Experience in hotel management, hospitality operations, or franchise organizations. 

  • Knowledge of select-service hotel brands and franchise relationships. 

  • Experience supporting board meetings and executive leadership teams. 

  • Project management experience is a plus.
