Founded in 1926, the Colonial Williamsburg Foundation is a private, not-for-profit educational, historic, and cultural institution that owns and operates one of the largest and best-known museum complexes in the world. The Foundation also owns and operates two world-class museums, the DeWitt Wallace Decorative Arts Museum, and the Abby Aldrich Rockefeller Folk Art Museum, The Bob and Marion Wilson Teacher Institute, and a renowned research library, the John D Rockefeller Jr Library. About the Position

The Lodge Food and Beverage Coordinator provides administrative support in a team-based environment to the Food and Beverage department. Responsibilities include but are not limited to outlook calendar maintenance, monitoring/ordering office supplies and stationery. Answering guests’ requests, telephone calls, and questions that provide interpretation of food and beverage policies. Preparing menus, dining reservations, and other miscellaneous correspondence and reports. Perform other administrative duties as assigned.

Essential Functions:

  1. Responsible for developing inventories for special events, inputting restaurant events into EMS, providing leadership during prepaid functions, performing callbacks pertaining to reservations. Acting as the liaison with the President’s Office regarding restaurant reservations for VIPS and Colonial Williamsburg Board Members.
  2. Create, revise, review, print, and distribute information and updated menus to key departments (Concierge, call center, visitors center, Culinary, front desk, and dining room). Prepare and print special signage for events and special requests. Attend and record all formal and vocal information to obtain working meeting minutes. Update and maintain the employee bulletin board.
  3. Assist the department with answering general questions regarding the Food and Beverage Operations and overcome internal and external procedural challenges by offering solutions that lead to guest satisfaction. Design and create filing systems, maintain confidential files for the management team.
  4. Order office supplies, maintains services and products orders for printer/copier.
  5. Track monthly bank audits for cashiers.
  6. Assist in the administrative support to the food and beverage team with screening and routing telephone calls, answering questions involving interpretation of policies and procedures, greets, screens, and announces visitors; provides customer service to hotel guests and handles issues when the management team is not available.
  7. Follows the Colonial Williamsburg Company appearance policy to adhere to uniform, dress, presentation, and personal hygiene guidelines. Ensures your workspace is kept in a clean and organized manger and maintains a sanitary environment for safety.
  8. Demonstrates teamwork by leading by example, encouraging others and training as needed. Providing assistance when asked and under any circumstance. Maintains positive working relationship with the following team members: culinary team, Front of house Team, Waitstaff, Executive Steward and utility, Resident Manager, Front Desk, Concierge, Potential Guests and Main Clients, and Creative Production Team.

Required and Preferred Education and Experience:

Required: Minimum 2-4 years related experience in the Administrative Support field or Associate/Technical School Degree

Preferred: Prior food and beverage experience

Qualifications:

  • Must possess strong communication skills, oral and written, including proper grammar usage.
  • Must possess ability to handle large volumes of incoming client telephone calls.
  • Must possess strong Guest Service and telephone etiquette skills.
  • Excellent computer skills include Microsoft Office (Word, Excel, Outlook) and industry Point of Sale and Hotel Date Input Systems (Opera).
  • Able to learn and operate electronic reservation systems (OpenTable)
  • Fluency in English reading, speaking, writing, and proficiency in proofreading.
  • Demonstrated self-starter with strong organization skills including attention to detail and follow-through.
  • Must possess problem solving and decision-making skills.
  • Must be able to prioritize and handle multiple projects.
  • Must be able to work flexible hours including nights, weekends, and holidays.
  • Must have the ability to work in a team environment as well as independently.
  • Must be able to understand and follow instructions.
