The Administrative Assistant will be responsible for the secretarial, clerical and administrative duties required to support the Director of Hotel Operations and Food & Beverage management team.
BASIC FUNCTION: The Administrative Assistant will be responsible for the secretarial, clerical and administrative duties required to support the Director of Hotel Operations and Food & Beverage management team. All functions will be performed within the guidelines of the Gaming Operation policies and procedures, Internal Control Standards and objectives.
QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE
To perform this job successfully, an individual must be able to perform each of the essential duties and responsibilities satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Must have High School Diploma or High School Equivalency Diploma (HSED); one year of college or vocational school preferred.
Must be an experienced, results oriented, hands-on professional with a pleasant personality and the ability to interact with the public and co-workers Must be able to read, write, speak and understand English. Must be able to respond to visual and aural cues.
Must have three to five years of administrative/clerical work experience.
Must possess excellent communication skills.
Must be able to work nights, weekends and holidays as required.
Employment is contingent upon a favorable outcome of a background investigation and drug screening.
Must have the ability to effectively interact with customers and employees.
Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.
Must have excellent knowledge of English grammar, punctuation and spelling.
Must have knowledge of office machines including copier, personal computer, calculator and postage machine.
Must have computer proficiency with office programs including Microsoft Word, PowerPoint, Excel, and scheduling software.
Must be able to work in an intense and fast paced environment where a high degree of concentration is necessary to perform the required job duties.
Must present a professional appearance and demeanor in interactions with the general public.
ESSENTIAL FUNCTIONS:
1. Answers appropriate telephones, takes detailed and accurate messages, and takes initiative to resolve problems or provide requested information.
2. Receives, opens and distributes incoming mail as directed. Researches to find the appropriate information to answer or respond to mail and/or correspondence.
3. Maintains absolute confidentiality and integrity with all written and oral information regarding operations, management and staff.
4. Maintains department and administrative records and files, and generates correspondence, meeting minutes and requested reports.
5. Schedules meetings when directed. Ensures all participants are notified, equipment requirements identified and scheduled, and other amenities furnished as required.
6. Maintains inventory of department office supplies and requisition items on a weekly basis, or when needed.
7. Assists the department managers as needed.
8. Cooperates with the IGC to ensure compliance with all rules and regulations of the Gaming Operation.
9. Provides exceptional customer service to all patrons and communicates in a pleasant, friendly, and professional manner at all times. Maintains a professional work environment with supervisors and staff.
10. Meets the attendance guidelines of the job and adheres to regulatory, departmental and company policies.
11. Maintains effective communication with all departments.
12. Composes, types, and distributes departmental communications using a personal computer, and word processing software as needed and/or assigned. Proofreads and ensures accuracy of all communications prior distribution.
13. Attends all necessary training meetings.
14. Assists in other projects, as directed.
15. Duties, responsibilities, requirements and expectations pertaining to this job are subject to change as needed, hours are determined by 24-hour schedule.
16. Performs other duties as reasonably requested by Management.
