About the Role:

This position provides ongoing operational and technical support for the Capex and Engineering Department. Management of budget alignment associated with all properties across the portfolio related to Capex allocation (Maintaining the Tracker, balancing accounts, performing bank draws with various lender partners/owner groups). This position is the subject matter expert for Quore, the Computerized Maintenance Management System (CMMS) operations across the portfolio and provides technical oversight, training and systematic updates of applicable reporting systems and processes.

You will routinely interact/collaborate with multiple departments and vendors, including engineering, operations, finance/accounting, and third-party personnel, to support all locations with their capex and contracted AP/project management goals. In addition, you will work closely with department leadership on goals and objectives to ensure budgetary accuracy, current contact listings, purchasing/sourcing, and other various support initiatives.

Responsibilities:

  • Performs accounting functions to support capital expenditures and engineering tracking of purchases for PIPs, R&M, design/construction, and emergency functions.
  • Performs front-end system configuration tasks to support the use of Quore/Symmons/MagNet (SharePoint) system and to improve or enhance system workflows, security, and information accuracy and data.
  • Performs tasks to maintain the operational status of all locations' CMMS database, including adding and removing equipment from the database and updating the database with the new equipment nomenclature as it is replaced or installed new.
  • Monitors, assesses, and audits data entry tasks by others, and works with management and/or front-line staff to resolve issues identified. Perform continuous monitoring of existing data sets through random audits, exception reporting, and other types of analysis .
  • Regularly performs data input of warranties, contracts, and data maintenance tasks related to the operational lifecycle management of all properties utilizing CMMS
  • Performs accurate and timely entry of data into CMMS for reporting purposes and validating Brand requirements are being met.
  • Serves as a resource to users of the CMMS system; provides structured training and support to new users and/or refresher training as needed.
  • Assists with annual electronic build-out of capital asset items and forecasting spend within the Tracker/CMMS.
  • Responsible for consolidating above property reporting, building budget presentations, and ensuring Magna standards are being met at all times with regard to AP/AR.

Requirements:

  • Two or more years of experience using computerized maintenance management systems or equipment information systems. Five years’ experience with CMMS and accounting, bachelor’s degree preferred
  • Relevant hospitality industry experience required
  • Travel requirements up to 10% for training, conferences, site diligence
  • Preferred: Experience with CMMS (work order and capital expenditure software); an understanding of relational database concepts including hotel AP/AR; experience with Hospitality engineering technicians or similar role; knowledge of mechanical equipment industry and terminology.
  • Coordinates workload optimization, including proper work order entry, optimization of asset records, preventative maintenance procedures and schedules, and optimization of reporting features for quick and easy lookup of history, trends, and warranty
  • Works with corporate team to build standard procedures and provides training on proper data entry specific to application functionality and features
  • Attentive to timelines of system operations and able to complete work according to deadlines and in collaboration with others
  • Able to run reports from equipment tracking systems, interpret data, and present information, trends, and recommendations to management
  • Able to work independently and as part of a team with effective interpersonal skills
  • Able to effectively communicate technical information in a discussion, written, and training setting
  • Ability to perform capital expenditures planning for replacements within the parameters of an operating hotel via CMMS analysis
  • Knowledge of building trades: electrical, mechanical, HVAC, plumbing, and general building construction, as well as knowledge of facilities regulations and safety standards (OSHA, EPA, ADA, NFPA, etc.)
