The opportunity

The Boston Bruins are seeking a Senior Administrative Assistant to join our organization at TD Garden in Boston, Massachusetts. The Senior Administrative Assistant will work closely with the Executive Assistant to serve as a strategic business partner and operational extension of the Chief Executive Officer of the Boston Bruins. This role is responsible for ensuring the CEO’s time, priorities, relationships, and obligations are managed with precision, discretion, and foresight. By orchestrating complex logistics, communications, and engagements across the business, hockey operations, ownership, and external stakeholders, the Senior Administrative Assistant enables the CEO to focus on driving organizational performance, brand leadership, and long-term strategic objectives.

Pay

Minimum – Anticipated Maximum Base Salary: $76,700 – $96,600 / year

In addition to base salary, we offer an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan. What will you do?

  • Serve as the primary gatekeeper and strategic manager of the CEO’s calendar, ensuring priorities, preparation, and pacing are aligned to business impact
  • Anticipate conflicts, risks, and shifting priorities and proactively recommend solutions
  • Prepare, submit, and reconcile expense reports with accuracy, timeliness, and adherence to organizational policy
  • Maintain strict confidentiality while managing highly sensitive business and personal information 
  • Own end-to-end planning and execution of all CEO meetings, including agendas, materials, attendees, room set-ups, and technology needs
  • Coordinate internal and external participants, ensuring all parties are prepared and aligned
  • Oversee food, beverage, and hospitality arrangements for executive and stakeholder meetings
  • Plan, book, and manage all business travel, including flights, hotels, ground transportation, and special accommodations
  • Produce detailed, accurate itineraries that account for business objectives, personal needs, and contingency planning
  • Monitor travel in real time and manage last-minute changes or disruptions with minimal impact to the CEO Events, Ticketing & Family Support
  • Serve as the primary coordinator for Jacobs family needs related to Boston Bruins and TD Garden events
  • Manage all ticket requests, allocations, confirmations, and tracking for family, VIPs, and business partners
  • Oversee logistics for family, VIP, and client events, including food, beverage, and seating
  • Partner with TD Garden operations, security, hospitality, and external vendors to deliver flawless experiences 
  • Manage and track all charitable requests received by the CEO’s office, ensuring appropriate review, documentation, and follow-up
  • Coordinate logistics for charitable events, appearances, and donations
  • Serve as a liaison between the Bruins organization, ownership, and nonprofit partners Manage the Private Charter Flights
  • Provides comprehensive administrative and scheduling support for the Aviation Department, including coordination of aircraft, crew availability, ground transportation, catering, and travel logistics
  • Maintains accurate operational documentation by monitoring, reviewing, and filing trip records; preparing routine operational reports; and supporting internal and external audits such as IS BAO
  • Serves as a key communication and customer service liaison, offering timely updates on flight changes, supporting pilots with records and training schedules, and ensuring high quality service for internal and external stakeholders

More about you

  • 5-7 years of experience supporting C-suite or senior executives in a fast-paced, high-visibility organization
  • Bachelor’s Degree required
  • Experience in professional sports, entertainment, hospitality, or complex event-driven environments preferred
  • Demonstrated success managing executive calendars, travel, and high-profile stakeholder relationships
  • Proven ability to operate with discretion, judgment, and executive presence
  • Experience supporting ownership families, boards, or VIP clientele strongly preferred
  • Advanced knowledge of and demonstrated skills in Outlook, Word, Excell, and Powerpoint software program
