Job Summary:
The Sales Coordinator is responsible for assisting management in booking events and the daily operations of the hotels events and meeting space while ensuring overall client satisfaction.

Duties and Responsibilities:
Practice, train and implement company policies, especially those relating to safe work practices in accordance with OSHA lll(Occupational Health and Safety Administration) standards
Duties and Responsibilities:
  • Practice OSHA (Occupational Safety and Health Administration) standards and comply with all company safety policies and procedures
  • Respond to telephone inquiries about hotel services, by determining client’s needs and specifications.
  • Assist in coordinating arrangements for group events with the front desk, group room reservations, meeting rooms, and food and beverage. 
  • Participate or initiate meetings with sales clients before and during sales events to ensure guest satisfaction (as required). Contact clients after function to measure guest satisfaction and respond to any guest complaints or issues. 
  • Provide clerical support to sales and catering function by preparing weekly sales activity reports, maintaining sales files, trace files, and account history, typing sales agreements (as needed), coordinating appointments and schedules of sales activities, sorting mail and typing correspondence. 
  • Communicate and coordinate with Food and Beverage and Guest Services for meeting room services.
  • Assist guest services with pre-registering groups, group check-in and group check-out as needed. 
  • Processes and delivers resumes to guest services after review by rooms director
  • Report group turnovers to the Director of F&B and DOR. 
  • Assist with billing on every group and/ banquet request.
  • Requests rooming list, ensures all information is accurate and sends confirmation numbers.
  • Maintain a Reader Board each day.
  • Assist sales and catering department with BEO’s by distributing, revising and filing.
  • Remain current on hotel information, events, and policies.
  • Respond to client calls and special requests and obtain final details, dates, times, and hotel room and meeting room requirements.  Regularly follow-up with clients and maintain accurate and updated information.  
  • Report requests and/or complaints to DOR and appropriate department managers to assure the satisfaction of the guest.  
  • Promote team work and quality service through daily communication and coordination with other departments.   Coordinate details with other departments such as VIP amenities, special requests, or other service needs or special handling.
  • Assist with all reservations 
  • Balance invoices
  • Frequent e-mail correspondence to/from the group contact with proper etiquette, verbiage, grammar, and spelling. 
  • Working well under pressure 
  • Process and handle group rooming lists, reservations, and associate reservations requests by inputting data into the reservations system.
  • Reviewing and updating group reservations for accuracy prior to arrival of group 
  • Proper time management to ensure all duties are fulfilled efficiently 
  • Perform other duties as assigned.
Minimum Qualifications:
Communication skills are utilized a significant amount of time when interacting with coworkers, clients, and guests.
Reading and writing abilities are utilized often. 
Type at least 50 wpm; proficient  PC computer skills
Basic math skills are used frequently.
High school diploma or equivalent 
Basic reading and writing skills to help guests who need directions
Preferred Qualifications:
OPERA Cloud experience 
Flexible hours 
Hotel experience
May be required to work nights, weekends, and/or holidays. 
Attitude that reflects well on the hotel, the Brand, and other employees

Physical Requirements:
  • Sitting and computer work 90% of the time. Occasionally standing up and moving about the facility. Carrying or lifting items weighing up to 25 pounds. Handling objects, products and computer equipment: significant fine finger dexterity.
