This position is temporary from May 2026 through September 2026

Schedule Monday-Friday 9:00 am - 5:00 pm, subject to change based upon business needs.

The Room Sales Coordinator has overall responsibility for providing support to the Sales Department and provides efficient and smooth execution of all group room blocks. Individual must utilize available resources to provide excellent customer satisfaction. Requires knowledge of, and adherence to, hotel’s policies and procedures and all Sales policies, systems and procedures. The Room Sales Coordinator will support and work with the sales team to exceed sales standards and goals. Work hours/days vary as directed by the business needs and can include weekends and Holidays. 

ESSENTIAL FUNCTIONS

Provided administrative support to the Sales Department

  • Established and maintains accurate files, activities and trace system for the hotel 
  • Maintains CI/TY system requirements
  • Monitor Group Cutoff Dates
  • Knowledge of GDS to set up group room blocks, monitor cutoff dates and assist with reservations
  • Prepares and distributes Group Resumes and all Pertinent customer communication to all departments
  • Answers calls, uncover client needs and books all Social and Wedding Courtesy Room Blocks
  • Completes daily and/or weekly sales reports for sales team 
  • Sends Proposals and Contracts to prospective groups
  • Coordinates and communicates final details 
  • Works closely with all departments to ensure professional execution of group room blocks
  • Verifies timely completion of contract, credit applications and billing procedures 
  • Performs any related duties as requested by management

Experience 

  • Two year’s administrative hotel experience or any combination of similar education 
  • Language Skills: Read, write and speak English fluently. Ability to communicate effectively and professionally with other business departments, guests and vendors. Ability to diplomatically deal with difficult situations and people, while exhibiting a consistent level of professionalism.
  • Technical Skills: Computer skills, including spreadsheets, word processing and email. 
  • Other Skills & Abilities: Experience in meeting deadlines and multiple priorities of business demands as required. Possess basic knowledge of business contracts. Able to work with general supervision. Operate office equipment such as, but no limited to, printers, fax machine, copiers & scanners
