THE ROLE:

As a Sales & Events Coordinator at Park Hyatt Chicago, you will play a pivotal role in supporting the Sales & Events teams to drive revenue and surpass guest expectations. The Sales & Events Coordinator is tasked with providing meticulous administrative assistance, orchestrating sales & events activities, and ensuring seamless communication among various departments to guarantee a flawless experience for our guests

RESPONSIBILITIES(include but are not limited to):

Administrative Support:

  • Provide adept administrative support to the Sales & Events teams, encompassing tasks such as filing, data entry, and document preparation.

  • Maintain precise and up-to-date records of client interactions and sales/events activities.

Coordination of Sales Activities:

  • Collaborate closely with the Sales & Events teams to coordinate site visits, client meetings, and presentations.

  • Liaise with other departments to ensure the successful execution of events and group bookings.

Communication and Correspondence:

  • Act as a liaison between the Sales & Events teams and other hotel departments, ensuring clarity in communication and effective coordination.

  • Respond promptly and professionally to inquiries and requests from clients.

Event Planning Assistance:

  • Contribute to the planning and execution of events, conferences, and group bookings, ensuring meticulous attention to detail.

Sales Collateral and Materials:

  • Prepare polished sales/events presentations, proposals, and other collateral materials as required.

  • Ensure all materials are current, accurate, and aligned with the hotel's brand standards.

Database Management:

  • Effectively manage Envision Sales to track leads, client information, and sales/events activities.

  • Generate insightful reports to inform on sales/events performance and trends.

Customer Service:

  • Provide exemplary customer service to clients and guests, addressing inquiries and resolving issues promptly and professionally.

WAGE INFORMATION:

The hourly rate for this position is $27.75. This reflects the competitive compensation expected at Park Hyatt Chicago.  Actual pay will be commensurate with experience. This position is also eligible to earn overtime and premium pay under certain circumstances.

Requirements

  • Experience: 2 years of admin, hospitality, and/or sales experience.

  • Teamwork:Collaboration with the sales team and other departments is common. Being able to work well in a team is an important quality. This is a priority for this position.

  • Organizational Skills:Strong organizational skills are essential for managing and prioritizing tasks, handling paperwork, and maintaining order in a fast-paced sales environment.

  • Communication Skills: Effective communication skills, both written and verbal, are crucial for interacting with clients, sales teams, and other stakeholders.

  • Customer Service:This position often deals with customer inquiries and concerns. Customer service skills are important for aiding and maintaining positive relationships.

  • Computer Proficiency:Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint) and familiarity with Canva is a plus.

  • Attention to Detail:This position needs to be detail-oriented to ensure accurate record-keeping, data entry, and processing of sales-related documents.

  • Multitasking Abilities:The ability to handle multiple tasks simultaneously is valuable in a sales administration role where there may be various responsibilities to manage.

  • Adaptability:The sales environment can be dynamic, and priorities may change. Being adaptable and flexible is beneficial in handling evolving tasks and challenges.

  • Flexible Schedule:Some nights, weekends, and Holidays may be required as requested by your leadership team.
