Position Overview

The Executive Coordinator serves as a central support partner to the Executive Leadership Team, ensuring seamless communication, operational alignment, and administrative excellence across key divisions. This role plays a critical part in supporting the General Manager, Hotel Manager, Director of Food & Beverage, and Director of Engineering in driving efficiency, organization, and execution across the property.

The ideal candidate is highly organized, adaptable, and thrives in a fast-paced, luxury hospitality environment while maintaining the highest level of professionalism and discretion.

Key Responsibilities

Executive & Administrative Support

• Manage calendars, scheduling, and meeting coordination across multiple executives
• Prepare agendas, reports, presentations, and executive correspondence
• Coordinate travel arrangements, itineraries, and expense reporting
• Maintain organized files, records, and confidential documents

Operational & Departmental Coordination

• Act as a liaison between executive leadership and operational departments
• Track, monitor, and follow up on key initiatives, projects, and action items
• Support daily operational needs across Rooms, Food & Beverage, and Engineering divisions
• Assist with coordination of leadership meetings, briefings, and property initiatives

Communication & Alignment

• Draft and distribute polished internal communications reflective of Hotel Phoenix standards
• Ensure consistency and alignment of messaging across departments
• Support leadership in preparing for departmental meetings, lineups, and trainings

Project & Event Support

• Assist in planning and executing executive-level projects, initiatives, and special events
• Support cross-functional collaboration to ensure successful execution of property goals

Confidentiality & Professionalism

• Handle sensitive and confidential information with the highest level of discretion
• Serve as a trusted support partner to the Executive Leadership Team

Qualifications

• 3–5 years of experience in executive support, hospitality environment preferred
• Experience supporting multiple senior leaders simultaneously
• Strong organizational, multitasking, and time management skills
• Exceptional written and verbal communication skills
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Experience with hospitality systems (ADP, Delphi, or similar) preferred
