Catering & Conference Services Manager

We are seeking an experienced and motivated Catering & Conference Services Manager to join our team and help create exceptional events and memorable experiences for our members, guests, and clients.The Catering & Conference Services Manager is responsible for selling, planning, coordinating, and executing catering and special events while ensuring exceptional service, member satisfaction, and financial success. This position serves as the primary contact for clients throughout the planning process and works closely with all resort departments to ensure seamless event execution.

Qualifications

  • College degree in Hospitality Management, Business, Marketing, or related field preferred.
  • Minimum of 2 years of catering, conference services, event planning, or hospitality sales experience required.
  • Computer proficiency and strong organizational skills.
  • Excellent written and verbal communication skills.
  • Knowledge of food and beverage service, banquet operations, and event planning.
  • Ability to read, write, and speak English fluently.

Job Responsibilities

  • Sell, coordinate, and execute assigned catering events, social functions, corporate meetings, and group programs from initial planning through event completion.
  • Serve as the primary point of contact for clients throughout the planning and execution process, providing timely communication, proactive guidance, and exceptional service.
  • Conduct site tours, respond promptly to inquiries, prospect for new business opportunities, and maintain client relationships to generate repeat and referral business.
  • Develop Banquet Event Orders (BEOs) and other required event documentation, ensuring complete and accurate communication of event details to all operating departments.
  • Coordinate menus, beverage selections, rental equipment, event logistics, timelines, vendor requirements, and special requests.
  • Maintain comprehensive knowledge of resort menus, beverage offerings, services, and event capabilities; drive revenue through menu enhancements, upselling opportunities, and thoughtful recommendations.
  • Monitor event guarantees, deposits, attendance, staffing needs, and operational requirements, ensuring established deadlines and contractual requirements are met.
  • Ensure event details and changes are accurately maintained in departmental systems and communicated to all appropriate departments in a timely manner.
  • Attend planning meetings, BEO meetings, departmental meetings, daily stand-ups, and other required operational meetings; arrive prepared to communicate event updates and action items.
  • Provide on-site event management for assigned functions, coordinating with clients, vendors, and resort departments to ensure exceptional execution and guest satisfaction.
  • Build strong working relationships with clients, members, vendors, colleagues, and resort departments to support seamless event execution.
  • Remain current on catering, wedding, conference, and event trends and incorporate relevant ideas that enhance the guest experience and revenue opportunity.
  • Maintain a flexible schedule based on business demands, including evenings, weekends, holidays, split shifts, and extended hours as necessary to support events.
  • Support departmental leadership through other administrative responsibilities as assigned.
  • Perform additional responsibilities as assigned by the Director of Catering & Conference Services or Director of Sales.

Physical Requirements

  • Ability to stand and walk for extended periods during events.
  • Ability to work indoors and outdoors in varying conditions.
  • Ability to lift, carry, and move items up to 50 pounds.

Schedule

  • Full-Time Position
  • Flexible schedule required, including evenings, weekends, holidays, and occasional extended hours based on business needs and event schedules.
