Compensation: $23.74 to $29.67 per hour, Full-Time

PRIMARY OBJECTIVE OF POSITION:

Responsible for supporting the Director of Catering Sales in all catering business.  Responsible for working with Catering Sales and Conference Services Managers on assigned catering business to effectively serve the needs of hotel clients. Handling details of definite groups, i.e., client amenities, menu cards, and rooming lists, to effectively serve the needs of hotel clients.

RESPONSIBILITIES AND JOB DUTIES:

  • Enter data (operates various word processing and other software packages including Delphi, Word, Excel, PowerPoint, and Shiji on a personal computer) to produce contracts, correspondence, forms, memorandum and other documents.  Understands written and verbal instructions in English.
  • Answers telephone and respond to caller inquiries, speaking in a clear and pleasant manner. Exercise decision making skills to direct caller requests. Accurately records messages for the staff and distributes written messages to the staff member's office in a timely manner.
  • Works with all departments to coordinate any special needs/request of clients including site inspections. 
  • Coordinate small in-house events as required based on the needs of the Hotel.
  • Accurately completes distribution of BEO's, 21 catering report, resume distribution, tasting BEO’s, change log, site tour sheets, contracts, and deposits daily using the correct office procedures.
  • Manages the BEO Book daily and creates monthly calendars of upcoming groups.
  • Responsible for coordination of all Catering group related business, including but not limited to, issuing event contracts, menu cards, parking vouchers, welcome amenities, and coordinating rooming lists and resumes in a timely manner. 
  • On a daily basis, completes photocopying, faxing, files and filing as required to maintain up-to-date files and outgoing mail in accordance with internal audit procedures.
  • Assist other departments when necessary. 
  • Assembles catering kits for guests and keeps inventory of wedding brochures.
  • Completes and processes various forms such as check requests, expense reports, purchase orders, etc. as required.
  • Attends the department's monthly meeting as well as other committee and project groups as assigned.
  • Distributes outgoing and inter-office mail and documentation throughout hotel.
  • Answers telephone for other individuals within department when they are absent from the office.
  • Assists the Catering department with groups and client needs and represents the Catering department in person when required (for instance: greeter for larger groups).

PHYSICAL DEMANDS:

  • Physical activities include lifting 10lbs. Maximum and occasionally lifting and carrying such articles as dockets, ledgers, and small tools.
  • Sitting for extended time periods is likely.
  • Talking, hearing, seeing, reaching, handling, and feeling. 
  • Considerable repetitive motion of hands, fingers and wrists as pertains to the use of office machines such as computer keyboard.

SPECIAL SKILLS REQUIRED:

  • Basic administrative knowledge such as business writing, formatting, and telephone etiquette.
  • Excellent telephone skills and manners, and ability to interact with fellow employees and clients of the hotel, both via phone and in person.
  • Working knowledge of Word, Excel, Delphi and Shiji.
  • Ability to read, write and speak the English language, using excellent grammar and communication skills.

EDUCATION REQUIRED:

Any combination of education and experience equivalent to graduating from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities. High school diploma required.

EXPERIENCE REQUIRED:

  • One to two years’ experience in an administrative position preferred.
  • One to two years’ experience in a Food & Beverage or Catering environment.
  • Hotel experience preferred.

LICENSES OR CERTIFICATES:

No special licenses or certificates required. 

SALARY RANGE:

$23.74 - $29.67/hour

The Langham Chicago

The Langham, Chicago, opened its doors July 2013.  The 52-story building, situated on the plaza overlooking the River, was designed by famed Chicago architect Ludwig Mies van der Rohe.  Langham Chicago takes up 13 floors of the iconic building.  The ground floor reception area designed by Dirk Lohan of Lohan Anderson, was van der Rohe's grandson and the Lobby is a tribute to his grandfather's distinctive style showcasing period and contemporary influences.  Throughout the hotel, you will find many influences of Mies van der Rohe.
