JOB SUMMARY

The Accounting Manager is responsible for supporting the day-to-day accounting operations of the hotel, with primary oversight of accounts payable functions and payroll processing. This role ensures the accurate and timely validation, coding, and recording of vendor invoices, adherence to internal controls, and compliance with corporate and audit requirements. Additionally, the position is responsible for executing end-to-end payroll processing, ensuring accuracy, confidentiality, and compliance with applicable labor regulations.

The Accounting Manager plays a critical role in maintaining financial integrity by supporting month-end close activities, preparing accruals, reconciling accounts, and coordinating with internal departments and vendors. Success in this role requires strong attention to detail, organization, and the ability to manage priorities in a deadline-driven environment while maintaining strict compliance with company policies and regulatory requirements.

ESSENTIAL JOB FUNCTIONS

This description is a summary of primary responsibilities and qualifications.  The job description is not intended to include all duties or qualifications that may be required now or in the future.  The Hotel operates 24 hours a day and 7 days a week, so operational demands require variations in shift days, starting times, and hours worked in a week.  This is a Management salaried position.

  • Review and receive all vendor invoices
  • Validate invoices against purchase orders (PO), contracts, and/or services received, using the internal PO listing
  • Complete required documentation for submission to Corporate when onboarding a new vendor (confirm which documents must be included)
  • Maintain vendor compliance listing
  • Verify that no duplicate invoices exist prior to entry
  • Ensure accurate accounting coding (GL account and department)
  • Enter/upload invoices into the system (BirchStreet/Sage)
  • Follow up on pending approvals
  • Prepare payment listing based on due dates and priorities
  • Coordinate and obtain approvals for payments
  • Review vendor statements and reconcile balances, follow up on missing invoices or discrepancies, identify and apply vendor credits.
  • Identify unreceived invoices for accruals and prepare supporting documentation for accrual entries
  • Ensure all invoices are recorded in the correct accounting period
  • Support accounts payable reconciliations, and provide required documentation for closing and audits
  • Maintain organized records (digital and physical) of all invoices
  • Comply with internal policies and approval processes, while maintaining clear communication with vendors and internal departments
  • Escalate any discrepancies or urgent matters in a timely manner
  • Executing end-to-end payroll processing, ensuring accuracy and timely payment

Qualifications

KNOWLEDGE, SKILLS & ABILITIES

  • At least 1 year of related accounting experience with hotel experience preferred.
  • Knowledge of accounting operations to include all aspects such as payroll, accounts payable, general cashiering, etc.
  • Basic mathematical and accounting skills, including use of information systems and tools.
  • Ability to effectively deal with guest and employee concerns in a professional and positive manner.  This involves listening to the nature of concern, demonstrating empathy, and providing positive and proactive solutions.
  • Ability to access and accurately input information using a moderately complex computer.
  • Ability to read, write and speak English sufficient to understand and communicate with employees and guests.  Must have excellent telephone etiquette skills.
  • Hearing and visual ability to observe and detect signs of emergency situations.
  • Considerable knowledge of Microsoft Windows, MS Word, and MS Excel.
  • Ability to communicate effectively, both orally and in writing in both Spanish and English
  • Ability to work independently and proactively, and as part of a team.
  • Ability to maintain moderately complex records and ensure their confidentiality.
  • Ability to work under pressure and to meet deadlines.
