Job Overview:

The Night Auditor at Encore Hospitality is responsible for performing essential accounting and administrative tasks during the overnight shift. This role involves balancing the hotel's daily financial transactions, managing guest check-ins and check-outs, and ensuring the security and smooth operation of the hotel during nighttime hours. The Night Auditor plays a crucial role in maintaining accurate financial records and providing excellent service to guests at night.

Key Responsibilities:

  1. Financial Reconciliation:
    • Perform nightly audit of all financial transactions, including room charges, payments, and adjustments, to ensure accuracy and completeness.
    • Reconcile and balance the hotel’s financial records, including cash drawers, credit card transactions, and other financial reports.
    • Prepare and generate nightly financial reports, including revenue summaries, audit logs, and any discrepancies for management review.
  2. Guest Services:
    • Handle guest check-ins and check-outs during the night shift, ensuring a smooth and efficient process.
    • Address guest inquiries, requests, and concerns in a professional and courteous manner.
    • Assist with reservations, room assignments, and special requests, providing excellent customer service throughout the night.
  3. Administrative Duties:
    • Complete administrative tasks, including filing paperwork, updating guest information, and maintaining accurate records.
    • Ensure that all guest accounts are accurate and up-to-date, addressing any discrepancies or issues as they arise.
    • Prepare and distribute end-of-shift reports and documentation to relevant departments.
  4. Security & Safety:
    • Monitor hotel security and safety during the night, including locking and securing doors, monitoring surveillance systems, and performing routine security checks.
    • Respond to any emergency situations, including medical incidents, fire alarms, or security breaches, following established protocols.
    • Ensure that the hotel environment remains safe and secure for guests and staff.
  5. Communication & Coordination:
    • Communicate effectively with the Front Desk Supervisor, Night Manager, and other hotel departments to address any issues or operational needs.
    • Coordinate with housekeeping and maintenance staff to manage any guest requests or room issues during the night.
    • Report any unusual activities or maintenance issues to the appropriate department or management.
  6. Guest Relations:
    • Provide information about the hotel’s amenities, services, and local attractions to guests.
    • Handle any guest complaints or issues with professionalism and efficiency, ensuring guest satisfaction and comfort.
  7. System Management:
    • Operate and manage the hotel’s property management system (PMS) and other relevant software to process transactions, update guest records, and generate reports.
    • Troubleshoot and resolve any issues with the PMS or other hotel systems as needed.

Qualifications and Skills:

  1. Education:
    • High school diploma or equivalent required; Associate’s degree or higher in Hospitality Management or a related field preferred.
  2. Experience:
    • Previous experience in a front desk or accounting role is preferred, with some experience in a hotel setting being an advantage.
    • Familiarity with hotel management software or property management systems (PMS) is a plus.
  3. Skills:
    • Strong attention to detail and accuracy in financial reconciliation and record-keeping.
    • Excellent communication and interpersonal skills, with a focus on providing exceptional guest service.
    • Strong problem-solving abilities, with the capability to handle guest issues and emergencies effectively.
    • Basic computer skills and proficiency with office equipment.
    • Ability to work independently and manage tasks during the night shift.

Physical Requirements:

  • Ability to stand, sit, and move around the front desk area for extended periods.
  • Ability to lift and carry up to 25 lbs, including office supplies and guest luggage.
  • Flexibility to work the night shift, including weekends and holidays.

Work Environment:

  • Quiet and relatively calm environment during the night shift, with occasional interactions with guests and staff.
  • Indoor setting, with a focus on maintaining a secure and efficient operation during nighttime hours.
