Under the direction of the Marketing Sponsorships Manager, the Sponsorships Coordinator assists by performing logistical and administrative duties. The Sponsorships Coordinator will play a key role in managing and executing the organization's sponsorship agreements. This individual will be responsible for ensuring that all hospitality and marketing assets are delivered effectively to internal stakeholders and sponsored partners, coordinating financial transactions related to sponsorships, monitoring and reporting on the performance of sponsorship activities, and maintaining strong relationships with all parties involved. The Sponsorships Coordinator also performs tasks on special projects and events at worksites locally, and throughout the region.

Essential Duties & Responsibilities

1. Coordinates with media and production divisions to ensure contracted advertising deadlines are met.

2. Directly supports the logistics, planning and coordination of tasks for sports-sponsored events, special events, marketing events, and public meetings.

3. Performs duties such as organizing and maintaining project files, records, and an events calendar throughout the year. Processes requisitions in the procurement management system and performs follow-up to meet critical deadlines.

4. Works in coordination with the Marketing Sponsorship Manager on day-to-day activation of all paid sponsorship assets through KORE Konnect software including:

  • Assigning, monitoring and tracking tasks to appropriate departments on all requested deliverables to ensure timely execution.

  • Assigning pertinent details for on-site and off-site sponsored events (ex. community events, in-venue activations, etc.).

  • Storing supporting documents and files for quick reference.

  • Create reports from system data on asset usage.

5. Manages the budget for specific events, including overseeing monthly accruals, invoices and vendor planning. Tracks payments to vendors and evaluates proposed costs on behalf of the department. Works alongside FP&A to assist in accurate forecasting.

6. Maintains and establishes new relationships with external event vendors, suppliers and partners for effective execution of event plans.

7. Assists with department representation at all on-site and off-site events to ensure contracted elements are fully executed.

8. Performs other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

  • Bachelor’s degree in Business Administration, Public Administration, or a related field is required.

  • Minimum of three (3) years of experience in Marketing, Corporate Partnerships, or Sports Administrative Role or related field is required.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

  • Must have good knowledge of event coordination and excellent attention to detail.

  • Ability to multi-task with strong organizational skills and ability to work well under strict deadlines is required.

  • Advanced level experience with Microsoft Office (Word, Excel, and PowerPoint) is required.

  • Must demonstrate a firm grasp on a variety of public relations tactics, and a willingness to try new tactics if they support the enterprises’ goals.

Certificates/Licenses/Registrations

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.
