EDUCATION: High school diploma or equivalent is required. College or trade degree is preferred. Ability to speak, read, write, and comprehend the English language at a level sufficient to communicate effectively with clients, members, guests, and co-workers.

TRAINING & EXPERIENCE: Previous hotel experience or other customer service position with face-to-face client contact preferred. Ability to speak or read in a second language/foreign language is highly desirable. Prior computer/data entry experience is a plus.

JOB KNOWLEDGE: The ability to work and communicate well with others in a professional manner. Logical, rational decision making capabilities are required.

JOB SUMMARY: Provide all necessary information and assistance to any potential guest using proactive sales efforts and techniques. Actively pursue the aggressive occupancy goals set forth by management. Assist the Convention Sales department in their efforts to block space for groups or individuals. Maintain a highly consistent, accurate, and detailed recordof every booking.

PHYSICAL ABILITIES: Must be able to lift small packages and boxes up to approximately 25 pounds and be able to escort guests to and from a guest room for the purpose of inspection.

DUTIES AND FUNCTIONS
  1. Must be able to work a flexible schedule, to include weekends, holidays and split shifts.
  2. Arrive to work on time, consistently.
  3. Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
  4. Hair must be clean and cut in a becoming style; management has final approval.
  5. Attend all required training, safety courses; attend office and departmental meetings.
  6. Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
  7. Perform any shift communication with co-workers or supervisors as necessary.
  8. Read bulletin boards for new information or announcements; verify your schedule for your next shift.
  9. Greet all visitors to the reservations office immediately, with a smile and eye contact.
  10. Answer calls in a warm and professional tone utilizing the provided scripting as a guide.
  11. Be able to answer any questions about the hotel/resort facilities and related amenities; be knowledgeable about Ponte Vedra and the surrounding communities.
  12. Have detailed knowledge of our amenities, including all rates and packages for current and future season, available discounts, and special package offerings.
  13. Be familiar with and utilize the correct guest information, room attributes, and tracking codes.
  14. Handle each new call with the same interest and effort as your first, overcome objections, and sell value.
  15. Assist with filing, sorting, posting, mailing confirmations, and other administrative responsibilities.
  16. Familiarize the Manager on Duty and/or the appropriate Salesperson of any arriving VIPs.
  17. Communicate actively with related departments (PBX, Bellstand, and Conference Services) to facilitate open lines of communication. Assist all other departments in a “team guided” environment.
  18. Place newspaper order; advise appropriate departments of daily amenity distribution.
  19. Determine travel agency commissions and ensure accuracy and promptness of payments.
  20. Clean, maintain, and stock work areas as needed or directed.
  21. Show rooms and/or facilities to potential guests.
  22. Attend all department meetings including required safety meetings when requested.
