Horseshoe Bay Resort is seeking a highly organized and detail-oriented Facilities Coordinator to support the Engineering Department. This role is essential to the daily operations of the resort, providing administrative, operational, and coordination support to ensure facilities systems, documentation, and communication function efficiently.
Job OverviewThe Facilities Coordinator serves as the primary administrative and coordination support for the Director of Engineering and Facilities team. Responsibilities include office administration, work order coordination, timekeeping, invoice processing, and documentation management. The position requires strong organizational skills, professionalism, and the ability to adapt quickly in a fast-paced environment.
Essential Job FunctionsAnswer incoming calls and maintain a professional, organized facilities office.
Coordinate schedules, appointments, and departmental meetings for the Director of Engineering.
Prepare, compose, and transcribe professional correspondence and departmental communications.
Maintain accurate associate time records.
Coordinate, assign, and track all maintenance and preventive maintenance work orders across the resort.
Assign purchase orders, monitor inventory levels, and order supplies and equipment as needed.
Verify, code, date, and submit invoices to Accounting for payment.
Maintain and update MSDS documentation and manufacturer recommendations for all mechanical and facilities equipment.
Inspect engineering associate uniforms to ensure compliance with departmental standards.
Communicate effectively with internal departments while maintaining professionalism during high-pressure or time-sensitive situations.
High school diploma or equivalent.
Minimum of two (2) years of experience in an administrative, facilities, or operations support role.
Proficiency in Microsoft Office applications, email systems, and typing.
Basic math skills and strong reasoning abilities.
Exceptional organizational and time-management skills with strong attention to detail.
Self-motivated professional capable of working independently.
Strong interpersonal skills with clear verbal and written communication in English.
Proven clerical, tracking, and documentation skills.
Experience with UltiPro and/or HotSOS preferred, but not required.
