The Botany is a secluded, 20-villa luxury resort opening in 2026 on the western tip of St. Thomas in the U.S. Virgin Islands. Surrounded by the wild beauty of Botany Bay and shaped by an ethos of intimacy, restraint, and attentiveness, The Botany will be one of the most anticipated openings in the Caribbean.
We are seeking a highly intuitive and detail-oriented Reservations & VIP Desk Team Member to serve as the voice and first point of connection for our guests. This founding role is responsible for shaping the pre-arrival experience, curating VIP stays, and ensuring every guest interaction reflects the quiet luxury and intentional care that defines The Botany.
This is a rare opportunity to build the reservation and guest recognition foundation of a new lifestyle resort from the ground up—establishing systems, standards, and personalized touches that transform transactions into relationships.

What You’ll Do
· Serve as the primary point of contact for all reservations, inquiries, and VIP guest coordination from pre-opening through launch and beyond.
· Build and manage reservation systems and processes, ensuring accuracy, efficiency, and seamless communication across departments.
· Oversee all pre-arrival communications, including confirmations, preference gathering, transportation coordination, and special arrangements.
· Curate personalized experiences for high-profile guests, repeat guests, ownership referrals, and special occasions.
· Maintain detailed guest profiles within the PMS and CRM systems to support recognition, personalization, and repeat visitation.
· Partner closely with Concierge, Sales, Marketing, Revenue, Spa, and Food & Beverage to align guest expectations with operational execution.
· Monitor availability, booking pace, and guest requests to ensure alignment with rate strategy and inventory controls.
· Respond to inquiries with warmth, clarity, and professionalism across phone, email, and digital channels.
· Prepare daily and weekly reservation reports and support forecasting insights in partnership with Revenue Management.
· Support pre-opening training and development of reservation and guest services team members as the resort grows.

· Comfortable balancing operational systems with high-touch personalization.
· Discreet, trustworthy, and experienced in handling VIP and confidential guest information.
· Energized by the opportunity to help shape the guest experience of a brand-new resort.

Education and/or Experience
· Bachelor’s degree preferred.
· Minimum of three (3) years of experience in luxury hotel reservations, front office, or guest services; VIP or concierge experience strongly preferred.
· Experience with PMS, CRS, and CRM platforms required.
· Strong written and verbal communication skills.
· Proficiency in Microsoft Office products and digital communication platforms.
· Experience with independent or lifestyle luxury hotels strongly preferred.

Other Functions

· Participate as a key member of the Rooms and Guest Experience leadership teams.
· Maintain clear and consistent communication between property departments and corporate leadership.
· Support special projects, guest experience initiatives, and pre-opening activations as needed.
